The HR Services Coordinator executes the transactional work that carries an employee from accepted offer through day 1, administers the confidential employment records that result, and produces the recurring survey reporting that leadership relies on. The role is the operational engine of the onboarding process and the single custodian of personnel file integrity for the populations it supports.
This is an execution role with a compliance obligation attached. The work is high-volume, deadline-driven, and largely invisible when it is done correctly — and highly visible when it is not. Accuracy is the primary performance standard: an incorrect pay rate, a misfiled medical document, or an unverified trainer pay entry creates downstream exposure in payroll, benefits eligibility, and regulatory audit that this role is the last control point against.
Responsibilities of Position:
Onboarding and New Hire Administration (primary accountability):
- Create internal and external offer letters against approved requisition terms, confirming pay rate, job code, and reporting relationship before release
- Process and verify start dates, pay rates, reporting managers, and work locations in UKG Pro, reconciling each record against the offer letter and requisition before it is finalized
- Confirm pre-employment paperwork is complete and accurate before any record is advanced to active status
- Coordinate weekly onboarding, orientation schedules for all regions and designated training locations, and weekly orientation communications to new hires
- Serve as the named point of contact for new hires, resolving or routing questions within one business day
Employment Records and Document Administration:
- Upload and index confidential employee documentation for HR Managers — offer letters, evaluations, Hepatitis B forms, acknowledgments — to a published turnaround standard
- Maintain absolute segregation of ADA-protected medical documentation, including Hepatitis B forms, from the general personnel file
- Process employment and income verification requests within standard, releasing only information authorized for release
- Direct unemployment claim documentation to the correct HR Manager and confirm receipt within the response deadline
- Upload employee files in response to internal legal requests
Survey Administration and Reporting:
- Administer 30-day, 90-day, exit, and leave-of-absence surveys; monitor response rates and follow up on non-response
- Log incoming employee feedback against defined categories and route items requiring action to the appropriate HR Manager or function
- Compile and publish survey results to leadership through the monthly dashboard on a fixed date
Driver Trainer and Specialist Pay Administration:
- Reconcile and process Driver Trainer and Specialist earnings using approved source documents
- Execute timely adjustments to trainer status and compensation based on management approvals
- Process trainer pay for other departments as needed
General HR Support, Confidentiality, and Compliance:
- Responsible for the production, accuracy, and on-time delivery of data utilized in the monthly HR dashboard
- Maintain and order general supplies for the HR function
- Perform other duties as assigned
Supervisory Responsibility:
- This position will not manage employees

Experience & Knowledge Needed for Position:
- Associate’s or Bachelor’s degree in HR, Business Administration, or a related field or a combination of education and experience
- Two or more years of experience in HR Administrative functions
- Bilingual (English/Spanish) preferred
- HRIS experience preferred
Physical Requirements in a Regular workday:
- Rarely lifting/carrying/pushing/pulling a max of 10 lbs
- Rarely working outside
- Frequently sitting/standing/walking
Additional Working Conditions/Aspects:
- Ability to work flexible hours; expected to work nights and weekends as needed
- Ability to work overtime, weekends, and/or holidays
- Legally eligible to work in the United States
- Valid driver’s license (if applicable)
- Must successfully complete pre-employment testing
- Must be able to read and speak the English language
