The HR Coordinator supports the Human Resources department by assisting with recruiting, onboarding, employee administration, office operations, and HR-related projects. This role serves as a key resource for candidates, employees, and visitors while helping maintain efficient office operations and delivering positive employee experience. The position offers an excellent opportunity for an early-career HR professional to develop their Human Resources knowledge and skills through hands-on experience and mentorship under the HR Manager.
The HR Coordinator serves as a key point of contact for candidates and employees, helping to ensure a positive candidate and employee experience while supporting the day-to-day administrative functions of the Human Resources department. The ideal candidate is highly organized, detail-oriented, professional, and passionate about building a career in Human Resources.
In addition, this role may assist with social media and employer branding initiatives to help promote Updike Distribution Logistics as an employer of choice.
Key Responsibilities
Recruiting & Talent Acquisition Support (Top Priority)
Support the full cycle recruiting process for warehouse, transportation, and corporate positions
Review applications and resumes to identify qualified candidates
Conduct initial phone screenings and candidate outreach
Schedule and coordinate interviews with hiring managers
Maintain candidate records and applicant tracking systems
Communicate with candidates throughout the hiring process to ensure a positive candidate experience
Assist with recruiting events, job fairs, open houses, and community outreach activities
Support recruiting efforts through job board management and candidate sourcing activities
Onboarding & New Hire Administration
Coordinate onboarding activities for new hires
Prepare onboarding paperwork and new hire documentation
Assist with new hire orientation and employee introductions
Ensure all onboarding records are completed accurately and maintained appropriately
Support I-9 completion and employment documentation processes
Assist with employee file maintenance and record retention
Human Resources Administration
Maintain employee personnel files and HR records
Assist with employment verifications and employee documentation requests
Update and maintain employee information within HR systems
Generate and distribute HR reports as requested
Support HR compliance initiatives and recordkeeping requirements
Assist with policy communication and HR-related administrative tasks
Respond to routine employee inquiries and direct employees to appropriate resources
Maintain strict confidentiality of employee and company information
Employee Engagement & Communication
Assist with employee recognition and engagement programs
Support company events, employee appreciation activities, and culture initiatives
Help coordinate employee communications and announcements
Promote a positive employee experience through responsive and professional support
Office Administration & Facilities Support
Manage office supply inventory and coordinate ordering of office, breakroom, and operational supplies
Conduct routine inventory checks to ensure adequate stock levels are maintained
Coordinate with vendors and suppliers for office-related purchases and deliveries
Monitor and maintain organization of office, conference rooms, breakrooms, and common areas
Assist with company mail distribution, shipping, and receipt of deliveries
Support facility-related administrative needs and coordinate maintenance requests as needed
Assist with employee workstations, office setup, and onboarding logistics for new hires
Maintain inventory records and track departmental supply expenditures
Support company events, meetings, and employee engagement activities through scheduling, ordering supplies, and event preparation
Social Media & Employer Branding (Preferred)
Assist with maintaining recruiting-related social media content
Help promote open positions and company culture through social media platforms
Support employer branding initiatives that enhance awareness of career opportunities at Updike Distribution Logistics
Assist with creating content that highlights employee achievements, company events, and workplace culture
Professional Development & Team Support
Support HR projects and initiatives as assigned
Assist with continuous improvement efforts related to recruiting and onboarding processes
Demonstrate a willingness to learn and develop within the Human Resources profession
Participating in training and development opportunities provided by the HR Manager
Qualifications
1–3 years of experience in Human Resources, Recruiting, Administrative Support, or a related field preferred
Associate's degree in Human Resources, Business Administration, Communications, or related field preferred
Strong organizational and time-management skills
Excellent written and verbal communication skills
Strong customer service and interpersonal skills
Ability to manage multiple priorities in a fast-paced environment
Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
Experience with UKG, Kronos, HRIS systems, or applicant tracking systems is a plus
Experience in transportation, logistics, warehousing, or distribution environments is a plus
Experience managing social media platforms is a plus but not required
