We're growing, and we're looking for a detail-oriented and experienced HR Compliance & Employee Relations Specialist to support employee relations, workplace investigations, HR compliance, performance management, employment documentation, and employment-related legal matters across multiple locations and states.
This position will work closely with employees, managers, HR leadership, and outside employment counsel. The ideal candidate is an HR professional with strong investigative, documentation, analytical, and organizational skills who can handle confidential and sensitive matters with professionalism and sound judgment. Experience with employment law or paralegal work is highly valued.
Responsibilities
Employee Relations & Investigations
- Serve as primary HR resource to employees and managers regarding employee relations, workplace concerns, attendance, performance, conduct, and Company policies.
- Partner with managers to address employee performance and conduct concerns consistently and appropriately.
- Conduct and document workplace investigations involving complaints, harassment, discrimination, retaliation, policy violations, conflicts, and other employee concerns.
- Conduct employees and witness interviews and review relevant documentation and communications in a professional, objective and confidential manner.
- Prepare investigation summaries and recommendations for HR leadership.
- Maintain accurate, organized, and confidential investigation and employee relations files.
- Support corrective actions, performance improvement plans, written warnings, and other performance documentation.
- Identify recurring employee relations issues and potential areas of risk and escalate sensitive matters appropriately to the Head of Human Resources.
HR Compliance
- Monitor federal, state, and local employment requirements.
- Maintain an HR compliance calendar and track required notices, filings, deadlines, and other actions.
- Assist with HR compliance audits, personnel file reviews, I-9 audits, and employment documentation.
- Research employment requirements as the Company expands into additional states.
- Maintain state-specific compliance information, policies, notices, and handbook supplements.
- Monitor changes in employment laws and regulations and communicate relevant updates to HR leadership.
- Assist with updating HR policies, procedures, forms, and employee communications.
Employment Law & Legal Support
- Serves as primary HR administrative liaison with outside employment counsel under the direction of the Head of Human Resources.
- Assist with employment-related legal matters, claims, agency charges, complaints, and litigation.
- Gather, organize, and preserve documents and information requested by counsel or government agencies.
- Assist with preparation of responses to employment-related claims and agency inquiries and regulatory research.
- Prepare timelines, chronologies, summaries, and other materials for employment matters.
- Track legal matter deadlines and follow-up items.
- Assist with litigation holds and document preservation when directed by counsel.
- Maintain confidential legal and employment matter files.
Manager & Mult-state HR Support
- Provide managers with guidance regarding employee relations, documentation, performance management, and Company policies.
- Assist with manager training and resources related to workplace conduct and employee relations.
- Assist with Employee Handbook and HR policy updates.
- Maintain standardized HR forms, investigation templates, corrective action forms, and other documentation.
- Track employee relations cases, investigations, corrective actions, and compliance metrics.
- Prepare reports identifying trends and areas requiring management attention.
- Support state-specific HR compliance as the Company expands.
- Research state and local employment requirements and coordinate implementation.
- Assist with handbook updates, policies, notices, and procedures.
- Maintain a centralized HR compliance matrix.
- Ensure consistent HR practices while meeting state and local requirements.
Qualifications
Required:
- Bachelor's degree in Human Resources, Business Administration, Legal Studies, or a related field; equivalent experience may be considered.
- 3–5 years of progressive experience in Human Resources, Employee Relations, HR compliance, legal support, or a related field.
- Experience conducting or supporting workplace investigations.
- Strong understanding of HR practices and employment compliance.
- Experience handling confidential and sensitive information.
- Excellent written and verbal communication skills.
- Strong organizational, analytical, and documentation skills.
- Ability to manage multiple priorities and meet deadlines.
- Sound judgment, discretion, and attention to detail.
Preferred:
- Paralegal experience, particularly in employment or labor law.
- Experience supporting employment litigation or administrative agency matters.
- Paralegal certificate or legal education.
- SHRM-CP or other HR certification.
- Multi-state HR experience.
- Experience with HRIS systems and HR reporting.
- Experience in construction, HVAC, mechanical, service, or another operational environment.
