Job Description

Role purpose

The Human Resources and Admin Assistant support the Human Resources and Administration functions by handling daily administrative tasks, assisting with HR processes, and ensuring smooth office operations. The post holder is responsible to manage and maintain Human Resource Information System (Local HRIS and ORACLE Online) and Ministry of Labour and Vocational Training System and other HR administrative tasks.

The position will also perform a range of duties such as visa application, hotel and transport reservation, booking of domestic air tickets, mail sorting, updating the visitors’ tracker and managing the movement of office supplies within the organization including request for stock replenishment in every 3 months and issuance stock/stationeries to all staffs. The role will also responsible for procurement activities under administration are implemented according to plan and in compliance with the procurement policy and supporting documents are systematically maintained.

In the event of a major humanitarian emergency, the role holder will be expected to work outside the normal role profile and be able to vary working hours accordingly, such as participating in the emergency response team and carrying out responsibilities outlined in the ERT Operation Platform and/or assigned by the line manager.

Qualifications and experience

  • Bachelor’s degree in Human Resources, Business Administration, or related field

Essential

  • At least 2 years of relevant experience of HR, Receptionist and administration position
  • Knowledge of labour law and HR practices is an advantage
  • Competent level skills in core IT application, particularly MS Office (Microsoft Words, Excel, PowerPoint and Access)
  • Good communication and interpersonal skills
  • Good in oral and written communication skills in English
  • Strong organizational and multitasking abilities
  • Attention to detail and confidentiality
  • Experiences in managing asset and fleet

Desirable

  • Demonstrate a friendly, customer‑service‑oriented attitude
  • Telephone techniques/ Office foundation skill
  • Has ability work under pressure, cope competing, demands and prioritized tasks
  • Hardworking, service oriented, polite and friendly
  • Some experience in coordination, providing training and presentation

Contract length: Unspecified Duration Contract (UDC).
