Job Description

1. Job Purpose & Scope

The HR Officer is responsible for executing end-to-end recruitment for all positions (FTE, contingent and temporary workers), managing HRIS (Workday) data, and handling HR administrative and office operations across multiple locations (HCM, HAS, HAN).

This role also supports employee relations activities, training coordination, and expatriate-related administration, including visa, travel, and logistics arrangements. The position ensures timely hiring, accurate HR data management, smooth administrative operations, and full compliance with Vietnamese labor regulations and company policies.

3. Key Responsibilities & Job Content

Recruitment (All positions)

  • Lead and execute end-to-end recruitment for FTE, contingent, and temporary workers

  • Coordinate with departments to support workforce planning and manpower forecasting

  • Facilitate onboarding processes to ensure smooth integration of new employees

    HRIS (Workday) Administration

  • Maintain and update employee data accurately in Workday.

  • Ensure proper approval workflows for employee data changes.

  • Support HR data reporting (headcount, turnover, etc.) when required.

  • Ensure data accuracy, completeness, and compliance with internal control requirements.

  • Support system audits and data validation processes.

HR & Office Administration (HCM, HAS, HAN)

  • Manage administrative activities across HAS, HCMC, and Hanoi offices, including office supplies, courier, mail services, and facility coordination

  • Support internal company events and administrative activities when required

  • Provide new employee support, including travel arrangements and onboarding logistics

  • Manage factory administration activities, including utilities (electricity, water), mail/courier services, office supplies, and documentation

  • Support factory events and employee activities as required

  • Maintain administrative records and ensure smooth daily office operations.

Employee Relations, Engagement & Communication

  • Support Employee Relations activities, including employee inquiries, grievances, and disciplinary cases in compliance with regulations

  • Coordinate with Trade Union and ensure alignment with labor laws and company policies

  • Support RockPulse implementation, including survey rollout and follow-up actions

  • Drive internal communication and employee engagement initiatives

  • Monitor engagement trends and provide recommendations to improve employee experience

    HuRi Dashboard & Workday Administration

  • Maintain and update employee data accurately in Workday in a timely manner

  • Ensure proper approval workflows and governance for all employee data changes

  • Support HR reporting (e.g., headcount, turnover, workforce metrics)

  • Ensure data accuracy, completeness, and compliance with internal control standards

  • Support system audits, data validation, and continuous improvement of HR data processes.

Backup Payroll & Salary Calculation

  • Act as backup for payroll and salary calculation to ensure business continuity

  • Support payroll processing, including data verification and accuracy checks when required

  • Ensure compliance with internal policies and statutory regulations (PIT, SI, etc.)

  • Maintain payroll documentation and ensure proper record keeping

  • Support payroll audits and continuously improve payroll processes
