POSITION SUMMARY:

  • The Human Resources/ Accounting Administrative Assistant carries out responsibilities in some or all of the following functional areas: Accounting support and data entry, payroll HRIS, employee relations, training and development, benefits, compensation, organizational development, executive administration, and employment. The position also assists with physical inventory and various continuous improvement projects within the organization.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Answer questions regarding eligibility, payroll, benefits, and other pertinent information.
  • Assist with processing payroll.
  • Assist with new hire orientation, and benefit orientation as needed.
  • Assist with training and maintaining employee training records.
  • Assist with employee relations.
  • Administer necessary paperwork.
  • Assist with employee safety, welfare, wellness, and health reporting.
  • Assist with the day-to-day efficient operation of the Accounting department, including scanning and filing of documents, updating spreadsheets, etc.
  • Assist with reviewing Sales Order Acknowledgements, reviewing backlogs and credit limits, and releasing orders from Suspense in SYSPRO (MRP system).
  • Assist with Cycle Count adjustments in SYSPRO, including during Physical Inventory.
  • Assist with matching Accounts Payable documents (Purchase Order, Receiving Document, and Invoice) and weekly check runs.
  • Assist with posting payments and cash applications in SYSPRO.
  • Assist with new customers and/or new vendor set up in SYSPRO.
  • Compile reports as requested.
  • Drafting of communications.
  • Assist with maintaining employee records. Performs all filing duties and ensures proper record retention procedures are followed.
  • May prepare badges, passes, and identification cards, and perform other security-related duties.
  • Assist with Quality Auditing and Continuous Improvement projects within the organization.

ESSENTIAL SKILLS AND KNOWLEDGE:

  • Adaptability
  • Intermediate Microsoft Excel and spreadsheet skills, Word and Outlook
  • HRIS/Payroll experience is a plus

Qualifications

EDUCATION AND EXPERIENCE:

  • High School diploma or equivalent required.
  • One - two years of experience in an administrative position, preferably in Accounting or Human Resources.
  • MRP system experience is a plus.
  • Any equivalent combination of education and experience determined to be acceptable by management.

  • As a member of the Quality Management System, quality procedures, requirements, work instructions, and other required documentation must be followed. Team members are responsible to be aware of the company’s quality policy and quality objectives in order to support the continuous improvement projects and contribute to the overall mission of the organization.

PHYSICAL DEMANDS AND WORK ENVIRONMENT

  • Works primarily in a climate-controlled office environment with minimal safety/health hazard potential with moderate noise. Regularly required to sit, stand, bend, reach, and move about the facility.
  • Sedentary, sitting, walking, occasional lifting (overhead, waist level) from floor, bending, frequent near vision use for reading and computer use at a workstation.
  • PPE required may include safety glasses and gloves in designated areas of the facility.
