As the Headquarters Coordinator, you will be the first point of contact at our Canberra HQ, supporting workplace operations, executive activities, facilities management and stakeholder engagement while creating a professional and welcoming environment.

Job Description

As the Headquarters Coordinator, you will be responsible for delivering an exceptional workplace experience while supporting the day-to-day operations of our Canberra Headquarters.

You will:

  • Act as the first point of contact for visitors, employees, contractors and client guests, providing a professional and welcoming experience
  • Manage visitor sign-in processes, security passes and new starter site inductions
  • Coordinate facilities and maintenance requirements, ensuring workplace issues are resolved promptly
  • Support workplace health and safety initiatives, including hazard reporting, compliance activities and Fire and Emergency Warden responsibilities
  • Deliver workplace inductions and provide ongoing support regarding office services, safety and workplace procedures
  • Support senior executives, VIP visitors and key stakeholder meetings onsite
  • Coordinate meeting rooms, catering and workplace logistics for internal and external meetings
  • Assist the Executive Office with administrative and coordination activities as required
  • Manage office supplies, refreshments and general workplace resources
  • Prepare and distribute internal communications for HQ employees
  • Coordinate employee engagement initiatives, days of significance and cultural events
  • Foster a collaborative and positive workplace culture through exceptional service and support

Your background will demonstrate:

  • Experience in customer service, concierge, office coordination or a similar people-focused environment
  • Outstanding communication and interpersonal skills
  • Strong organisational skills with the ability to manage multiple priorities simultaneously
  • Confidence interacting with senior leaders, VIP guests and key stakeholders
  • A proactive and solutions-focused approach to work
  • The ability to perform effectively in a fast-paced environment
  • Strong attention to detail and commitment to delivering high-quality service
  • Experience supporting workplace operations, facilities, office administration or WHS activities will be highly regarded
  • A collaborative mindset and genuine passion for creating positive workplace experiences
