Under general supervision of the Assistant Director of Housing (Occupancy Management), the Housing Assignments Coordinator provides dynamic and complex administrative and operational support for the management of UNH’s year-round on-campus housing occupancy. With an emphasis on quality customer service, perform a variety of duties in support of service to students, including using independent judgement in applying and adapting departmental and institutional guidelines, policies and procedures.
Duties/Responsibilities
Housing Assignments (70%)
Assign and manage housing occupancy for an on-campus undergraduate and graduate student population of approximately 6,650 beds across 53 University-owned residence halls and apartment complexes.
Manage student room change requests in partnership with live-in professional staff.
Serve as point-of-contact for the on-campus housing waitlist.
Based on occupancy levels and availability, make and manage waitlist offers, acceptances and assignments.
Work with UNH Student Accessibility Services to provide housing accommodations for students with disabilities, including approving and maintaining records for emotional support animals (ESAs).
Assist with special populations, including early arrivals, athletes, international students, late move outs, break housing exceptions.
Responsible for reviewing cancellation requests and the daily inactive student report.
Process approvals, denials, and cancellations for students on these lists.
Working with multiple University departments (Residential Life, Registrar, Student Accounts, Dean of Students, Study Abroad, etc.) and data systems (i.e. Workday, StarRez), confirm students' status with university to determine approvals.
Help design and implement various housing application and selection processes.
Maintain and audit room information in housing management system, including room availability status and room configurations.
Assess, update, and audit housing charges to student financial accounts.
Enter and retrieve student and housing data into a computer-based housing management system, as well as other campus systems.
Create and manage reports of data stored in housing management system, as needed/requested.
Customer Service & Communication (25%)
Provide customer service and assistance to students, parents, prospective customers, and university staff members in-person and via phone and e-mail.
Share responsibility between Housing Assignments Coordinators for the management and response to all email communications sent to the UNH Housing departmental email account (avg. 75-100 emails/day).
Responsible for interpreting and communicating policy and procedural information about university housing to current and prospective students, parents/families, university staff/faculty and community members.
Apply a thorough understanding of services, policies and procedures to provide information and handle concerns.
Recommend updating and/or developing policies and procedures to supervisor based on communications with parents, students, and other departments.
Prepare and send complex correspondence such as reports, letters, and presentation materials.
Support and participate in front desk services as needed, including performing lock outs and handling concerns/emergencies.
Develop strong partnerships and work closely with University departments, especially the Housing and Residential Life teams.
Represent UNH Housing at university meetings, committees and events (such as open houses, orientations, and room tours) as appropriate/requested.
Assist in the preparation and dissemination of informational materials such as pamphlets, brochures, and notices to students advertising housing processes.
Office Administration (5%)
Serve as back-up to the Housing front desk, providing occasional coverage during business hours.
Help with training, assigning responsibilities/tasks to student employees, and providing feedback on Housing front desk student employee performance to their supervisor (Occupancy Operations Coordinator).
Other duties as assigned by supervisor.
Requirements
Minimum Acceptable Education & Experience:
High school graduation and five years of related experience involving progressive responsible duties requiring high customer service, discretion and independent judgement or Associate’s Degree and three years of related experience or a combination of higher education and related experience equal to five years.
Knowledge, Skills & Abilities:
Work experience in college/university environment.
Customer service and office management experience
Demonstrated ability to work independently and implement problem-solving tactics.
Accuracy and attention to detail while working in a fast-paced, multi-tasking environment.
Knowledge of computer and office applications.
Preferred Qualifications:
Experience with StarRez housing system preferred

Compensation Pay Range:
$20.15 - $33.15
