Saint John’s Program for Real Change mission is to provide a safe space for women and children to heal and develop the skills necessary to transform their lives. We accomplish our mission by holding to our vision to end the generational cycle of trauma and homelessness.
We operate the largest residential program for formerly homeless women and children in the Sacramento region providing services 24 hours/day, 365 days/year, offering shelter, meals, childcare, and comprehensive support services, including Behavioral Health Services, Hands-on Employment Training, Career Education, and Family Services.

HOUSING DEPARTMENT OVERVIEW
The Housing Department at Saint John’s plays a vital role in advancing our mission to provide a safe space for women and children to heal and develop the skills necessary to transform their lives. We recognize that stable housing is the foundation upon which recovery, healing, and long-term independence are built.
Operating under the direction of the Chief Operating Officer, the Housing Department delivers housing-focused supports that bridge the gap between crisis and long-term stability. Our team provides CalAIM Community Supports, including the Housing Trio, ensuring participants receive the assistance needed to secure and maintain stable housing. We also operate Saint John's Square, a modular housing community designed to provide transitional homes for individuals and families as they work toward long-term stability, and we administer targeted rental assistance programs that help prevent returns to homelessness.
Embedded deeply within the fabric of Saint John’s, the Housing Department works collaboratively across all programs—Behavioral Health, Workforce Development, Family Services and others—and connects participants with a wide network of external partners. This integrated approach ensures that housing is not viewed in isolation, but as a critical component of holistic healing and generational change.

SCHEDULE ​                   Monday- Friday​, ​9:00 am​ to ​5:30 pm​
About the Position…
The ​Housing Administrator​ works under the supervision of the ​Housing Director​ to ​support two critical functions of our Housing Department: property management at Saint John’s transitional living facility, Saint John’s Square, as well as the Community Supports Housing Program through CalAIM.  Saint John’s Square provides residents with experience running and maintaining a household to help prepare them for independence. Similarly, the Community Supports Program, funded through California Advancing and Innovating Medi-Cal (CalAIM), helps coordinate housing support for individuals experiencing homelessness. Both functions require a high level of organization and attention to detail. As ​Housing Administrator,​ you will be responsible for ​ensuring all administrative aspects of these two programs are accurate and organized.​
You’ll be responsible for…
Administrative Management of Saint John’s Square (30% of role)
- Coordinate tenants’ move-in process via a move-in checklist, scheduling walk-throughs, ensuring repairs are done, and units are furnished. 
- Conduct monthly and half-term cleanliness inspections. 
- Conduct move out inspections, coordinate return of security deposit with Finance if applicable.
- Enforce the resident agreement and provide written write ups and warnings when necessary. 
- Collect rent and keep tenant ledgers up to date.
- Ensure the safety of all residents. 
- Coordinate with the Maintenance and Facilities Technician on all repairs and receive/resolve issues pertaining to the remote climate control system.
- Attend annual trainings required to receive your CAS Assessor Certification and HMIS Certification
- Maintain clear boundaries between property and case management services.
- Coordinate with the Square Community Case Manager and Finance Department. 
- Maintain a waitlist of tenants to ensure the Square units are fully utilized. 
Administrative Management of Housing Programs (70% of role)
- Direct client inquires for housing assistance, troubleshooting with clients submitting applications for financial assistance.
- Receive, log and triage all incoming referrals for Community Supports.
- Conduct initial outreach to referred individuals, using trauma-informed, culturally responsive communication methods, to assess client interest and eligibility for program services.
- Establish rapport with clients to build trust and gather essential intake information, ensuring sensitivity to their lived experiences and social needs.
- Clearly explain program offerings, eligibility requirements, and the expectations of participation in CalAIM services.
- Maintain accurate, timely, and comprehensive documentation of all engagement activities using Electronic Health Records (EHR) and internal tracking tools.
- Enter new client information into the Housing Management Information System (HMIS), Electronic Health Record (EHR), and other tracking systems per health plan requirements.
- Prepare, submit, and track authorizations for service in compliance with health plan-specific policies, ensuring timely submission and accurate documentation.
- Accurately enter billing and service delivery data into the EHR and associated databases to support claims processing and financial reconciliation.
- Flag billing issues or documentation errors and assist in resolving them in a timely manner.
- Provide seamless warm handoffs to CalAIM team members by sharing relevant client history, engagement notes, identified barriers, and service recommendations.
- Perform quality checks on intake records, referral logs, and program documentation to ensure completeness, accuracy, and adherence to regulatory standards.
- Maintain a calendar of health plan compliance activities, coordinating with staff to meet deadlines.
- Monitor key performance timelines, including authorization submission windows, enrollment milestones, and initial contact benchmarks.
- Assist in the preparation of monthly, quarterly, and ad hoc reports to support program monitoring, compliance tracking, and performance evaluation.
- Complete other duties as assigned.
You must have...
- ​​High School Diploma​
- ​​3​ years of administrative or client service experience, or a relevant combination of education and experience
- Expert organizational skills with a high level of accuracy and attention to detail
- Expert in Microsoft Suite
- Fluent in English language (spoken and written)
- Proficient knowledge of email, copiers, fax, and internet
- An incredible passion for our mission

Physical Requirements

- Experience working within CalAIM programs or similar Medi-Cal initiatives is highly desirable
- Experience with Electronic Health Records (EHR), HMIS, referral tracking systems, and program data tools is highly desirable
- Fluency in Spanish language (spoken and written)
