Job Description

Job Title: Household Manager & Personal Assistant

Location: Philadelphia, PA 19119

Employment Type: Part-time | 15–25 hours per week

Schedule: 3 flexible weekdays/week (Mon/Wed/Fri preferred), mornings and afternoons.

Compensation: $35–$40 per hour, based on experience

Start Date: ASAP

Requirements:

  • 2+ years of professional house manager, executive assistant, or personal assistant experience in a private household setting
  • Maintain a smoke-free environment.
  • Must be authorized to work in the United States.
  • Reliable personal transportation with valid driver's license; mileage reimbursement provided.
  • Candidates are required to be up to date on recommended vaccinations in line with American Academy of Pediatrics and Centers for Disease Control and Prevention guidelines (including COVID-19 and flu), subject to applicable legal accommodations.
  • NDA required prior to start.

About Our Family

We are a busy family of four based in Philadelphia, with demanding professional schedules. We are often traveling or working long hours, which means our household runs best when someone is a step ahead — anticipating needs, managing details, and keeping things running smoothly without being asked twice. We are looking for someone who can bring consistency to the day-to-day while also helping us tackle the larger organizational, maintenance, and home improvement projects that can easily fall to the bottom of the list during a busy week.

A significant part of this role will be helping us create a greater sense of order and continuity across our homes. This may mean organizing a space that needs attention, managing a running household to-do list, coordinating with vendors, overseeing a repair or construction project, or simply noticing what needs to be done and taking care of it.

We value professionalism, discretion, initiative, and follow-through. We want a trusted partner who can learn how our household operates, anticipate needs, and progressively take more off our plates.

Who You Are / What We're Looking For

You are polished, highly organized, trustworthy, and experienced, with a strong personal assistant sensibility alongside hands-on household management skills. You are someone who quickly understands what needs to happen, takes ownership, and follows a task all the way through without requiring significant oversight.

You are naturally proactive and observant. If you notice an organizational system isn't working, a household item needs attention, or a project has stalled, your instinct is to determine the next step and move it forward. You are comfortable managing competing priorities and know how to distinguish between something that requires the family's input and something you can confidently handle independently.

Professionalism and communication are especially important in this role. You are well-spoken, thoughtful, and comfortable representing the family when communicating with contractors, vendors, property managers, service providers, and other household professionals. You exercise good judgment and discretion and understand the level of trust involved in working within a private home.

At the same time, you aren't afraid to roll up your sleeves. This is not a purely administrative position. You are equally comfortable overseeing a contractor, researching solutions for a household project, reorganizing a closet or storage area, completing laundry, resetting the home, or handling an errand that needs to get done.

Ideally, you are well-seasoned and bring enough experience to confidently operate independently while remaining flexible about how the family prefers things to be done. You have a creative eye for organization and home functionality and genuinely enjoy improving the spaces and systems around you.

Above all, you are a "just get it done" person: resourceful, dependable, solutions-oriented, and consistently a step ahead.

Key Responsibilities

Household Organization & Maintenance

  • Create and maintain household organization systems; daily resets to keep the home running smoothly
  • Prep home for cleaners (light tidying, dishes, surfaces, vacuuming high-traffic areas) and coordinate linen organization so cleaners can make beds efficiently
  • Seasonal swaps for clothing, decor, and bedding; holiday decorating and guest prep
  • Coordinate donation drop-offs
  • Indoor plant care and routine upkeep (batteries, light bulbs, smoke detectors, air filters)
  • Manage humidifier and air purifier maintenance

Vendor & Property Oversight

  • Serve as the primary point of contact for all vendors including cleaners, contractors, landscapers, and pest control
  • Handle vendor scheduling, payment coordination, and email communication
  • Research and coordinate repair quotes; assist in managing construction or renovation projects (deck, garage, porch)
  • Seasonal outdoor and property maintenance; manage outdoor spaces
  • Occasional coordination with staff at other family properties

Deep Cleaning & Special Projects

  • Tackle larger organizational projects including closets, pantry, porch, garage, and gear storage
  • Coordinate and support construction-related projects as needed

Inventory & Errands

  • Restock pantry, fridge, and household supplies; manage running supply lists
  • Manage household subscriptions and orders (Amazon, Costco, Target, Instacart) including put-away
  • Handle returns, dry cleaning, mail, package handling, and box breakdown
  • Gift shopping and miscellaneous errand support

Meal Support

  • Prep-chef level assistance approximately 2 times per week: washing, chopping, marinating proteins, and preparing meals through to oven-ready
  • Grocery shopping assistance and Instacart order management
  • Kitchen cleanup and maintenance after cooking

Laundry & Linens

  • Wash, fold, organize, and put away laundry; occasional ironing and steaming
  • Linen rotation and linen closet organization
  • Maintain a tidy and well-stocked laundry area; special organizational projects as needed

Vehicle Upkeep

  • Schedule and coordinate family vehicle maintenance and service appointments
  • Fueling, cleaning, and organizing family vehicles
  • Track registration and insurance documentation

Administrative & Personal Assistant Support

  • Maintain awareness of household calendar including family schedules, vendor appointments, and travel
  • Coordinate with the family's other support staff as needed
  • Receipt and budget tracking; assist with bill and credit card management
  • Travel planning and logistics support
  • Event and appointment coordination, including managing queues or waitlists when needed

Family Support

  • Very occasional backup pickup and drop-off support
