Job Description

Job Title: House Manager & Family Assistant (with Administrative & Childcare Support)

Location: New York, NY 10065

Employment Type: Part-Time | 20-30 hours per week

Schedule: Monday–Thursday, 20–30 hours per week, with 20 hours guaranteed. The schedule includes one morning shift beginning at 7:30 AM and three afternoon/evening shifts concluding around 7:00 PM.

Compensation: $40-$45 per hour

Start Date: ASAP

About Our Family

We are a busy family of six living in Manhattan, with a weekend property just outside the city where we spend much of the summer. With four kids at three different schools, a full calendar of activities, two working parents, and regular travel, life in our home moves quickly. Sometimes, there simply aren’t enough hours in the day. We have a wonderful full-time nanny and cleaning team in place, and we’re looking for someone who can come alongside us, bring some order to the moving pieces, and help make everyday life feel a little more manageable - both in the city and at our weekend home.

At the heart of it, this role is about making everyday life feel easier: keeping household supplies stocked, staying ahead of appointments and follow-ups, coordinating activities and transportation, helping with meal prep, and keeping household projects and maintenance moving. That includes helping keep both homes organized and well cared for, from staying ahead of routine maintenance to making sure small issues are caught before they become bigger ones Dinner doesn’t need to be gourmet; having vegetables prepped and protein ready to go can make a huge difference on a busy night. More than anything, we need someone who sees what needs to happen, takes ownership, and helps keep things from falling through the cracks.

Who You Are / What We're Looking For

You have experience supporting a busy household, family, executive, or similar fast-paced environment where organization, follow-through, and discretion matter. You’re comfortable managing calendars, coordinating logistics, keeping track of details, and taking ownership of projects from start to finish. You’re comfortable supporting both the family’s city home and their weekend property, helping keep things organized, well-maintained, and running smoothly throughout the year. Household management experience is a plus, but we’re equally interested in someone with strong project-management or operations instincts who knows how to make things happen.

You’re proactive, solution-oriented, and tech-savvy, with a natural ability to stay one step ahead. You can take direction and run with it, speak up when something is unclear, and stay calm when plans change. You’re flexible, resilient, detail-oriented, and genuinely willing to pitch in wherever needed: coordinating a busy afternoon, helping with meal prep, managing household projects, or assisting with event preparation. A positive, “let’s figure it out” mindset is essential.

Above all, you’re looking for a long-term position with a family you can become part of. You’re a true team player who enjoys making other people’s lives easier and takes pride in being the person who notices what needs to be done and gets it done. You bring a positive attitude, good judgment, and a sense of humor to the day, and you understand that sometimes the best way to support a busy family is simply to step in, take something off their plate, and say, “I’ve got it.”

Key Responsibilities

Family Support & Child Assistance

  • Pick-ups and drop-offs (comfort and ability to drive in New York City)
  • Transportation to after-school activities
  • Light supervision and backup childcare coverage as needed

Administrative & Personal Assistant Support

  • Manage and maintain the family's household calendar, including kids' schedules across multiple schools
  • Coordinate and sign up children for activities and seasonal programs
  • Manage school and activity forms, enrollment, and paperwork
  • Set up and maintain digital tools to support morning family awareness (such as display boards synced to calendars)
  • Provide proactive reminders and daily/weekly heads-up on upcoming commitments
  • Schedule and follow up on medical appointments, forms, and related logistics
  • Book and manage routine, repeat travel (ski trips, holiday travel, etc.)
  • Handle event and appointment coordination, including vendor communication
  • Make calls on behalf of the family as needed
  • Receipt and light budget tracking as needed

Household Management & Organization

  • Create and/or maintain household organization systems
  • Seasonal swaps (clothing, décor, bedding)
  • Prepare and coordinate donation drop-offs
  • Event/holiday/guest prep
  • Packing/unpacking for travel as needed
  • Change batteries, light bulbs, smoke detectors, etc.

Inventory & Errands

  • Restock pantry/fridge/household supplies
  • Manage running household supply lists as needed
  • Manage household orders and subscriptions (Amazon/Costco/Target)
  • Returns, dry cleaning, gift shopping, Pharmacy & prescription pickups
  • Mail and package handling
  • Breakdown boxes

Meal Support

  • Prep 2-3 dinners per week: protein, starch, and vegetables ready to go
  • Keep healthy snacks stocked and ready throughout the week
  • Assist with weekly dinner planning (family enjoys involving kids in the process)
  • Light grocery shopping and kitchen maintenance
  • Comfortable using an outdoor grill is a plus

Estate-Level Oversight

  • Schedule and track maintenance
  • Manage routine property walk-throughs and flag issues before they become problems
  • Oversee home systems (HVAC, security, etc.)

Vendor & Property Oversight

  • Oversee home systems (HVAC, security, etc)/ cleaners/contractors/landscapers/vendors
  • As needed: research, coordinate repairs & quotes

Deep Cleaning & Special Projects

  • Oversee routine deep cleaning: fridge, oven, baseboards, humidifiers
  • Ensure regular dusting and maintenance cadence is followed
  • Organizational projects as needed (kids' rooms, storage areas, medicine cabinets, bookshelves)

Vehicle Management

  • Schedule maintenance
  • Fueling/cleaning/organizing vehicles
  • Track registration/insurance/emissions testing
