Job Description

The Hospitality Intern is an entry-level, cross-functional role designed to provide hands-on exposure across all core departments of a premium urban hotel operation. Reporting directly to the Regional Front Office Manager, the intern will contribute meaningfully to day-to-day operations while building foundational skills in hospitality management.

The primary focus of the internship is Reservations data management, including the accurate entry, maintenance, and auditing of guest reservation records within our property management and reservations systems. In addition to this core responsibility, the intern will rotate through and assist Sales, Front Office, Housekeeping, and Maintenance teams in both administrative and hands-on capacities.

What Will You Do?

Reservations (Primary Focus)

  • Accurately enter, update, and audit guest reservations in the property management system (PMS)
  • Maintain data integrity across direct bookings, OTA channels (Expedia, Booking.com, etc.), and corporate accounts
  • Process reservation modifications, cancellations, and no-show documentation in accordance with hotel policy
  • Assist the Reservations team with rate loading, package configuration, and availability management
  • Support reporting functions including occupancy, pace, and pick-up summaries
  • Respond to basic reservation inquiries via email and internal ticketing systems under supervision

Front Office

  • Assist the Front Desk team with check-in and check-out procedures during peak periods
  • Support the preparation and distribution of daily arrival and VIP reports
  • Help coordinate guest room assignments, upgrade fulfilment, and pre-arrival communication
  • Assist with key management, PMS profile maintenance, and front desk administrative tasks

Sales

  • Provide administrative support to the Sales team including proposal preparation and account file maintenance
  • Assist with compiling competitive set research, market data, and sales reports
  • Support the coordination of site inspections, familiarization tours, and corporate client correspondence
  • Maintain accuracy of group blocks, corporate rate agreements, and CRM records

Housekeeping

  • Assist with the preparation and distribution of daily room assignment sheets and housekeeping reports
  • Support inventory tracking for guest amenities, linens, and cleaning supplies
  • Participate in room inspections to develop an understanding of brand cleanliness standards
  • Assist with administrative tasks including lost and found documentation and vendor coordination logs

Maintenance

  • Support the Maintenance team with work order tracking and preventive maintenance scheduling
  • Assist with logging and following up on guest-reported maintenance issues through the work order system
  • Participate in basic hands-on tasks and property walkthroughs as needed under the direction of the Maintenance Manager
  • Help maintain accurate records of equipment service logs, vendor visits, and compliance documentation

What You Bring:

Education & Experience

  • Currently enrolled in or a recent graduate of a post-secondary program in Hospitality Management, Tourism, Business Administration, or a related field
  • Previous customer service or hospitality experience is an asset but not required

Skills & Competencies

  • Strong attention to detail and commitment to data accuracy
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook); experience with a PMS or reservations system is a plus
  • Excellent written and verbal communication skills
  • Positive, team-oriented attitude with a genuine interest in hospitality operations
  • Ability to manage competing priorities, work independently, and meet deadlines in a fast-paced environment
  • Willingness to perform both administrative and hands-on tasks across multiple departments
  • Professional presentation and a strong commitment to guest service excellence
