Position: Hospitality Assistant

Office: Calgary Office

We are recruiting for a Hospitality Assistant to join our Calgary Office. The successful candidate will support the smooth operation of staff and catering kitchens, provide reception coverage, assist with food and beverage ordering, coordinate service needs with vendors and help maintain Firm standards in collaboration with various departments.

Major Responsibilities:

  • assists in the day-to-day upkeep of all kitchens to Firm standards by verifying that coffee and dishwashing machines are operating properly, including cleaning and stocking as required
  • provides daily reception coverage during breaks, before closing and when necessary
  • assists with ordering food and beverage from approved caterers and coordinates orders for the Firm’s snack program, ensuring all offerings meet Firm standards
  • receives orders from suppliers and checks for accuracy
  • contacts service vendors when kitchen equipment requires attention and coordinates scheduling for repairs to ensure minimal disruption to operations
  • ensures catering order deadlines are met, receives the catering event orders and ensures their accuracy
  • answers inquiries and assists Firm members with boardroom and Hospitality requests and assists with setting up all boardroom service requests as needed
  • ensures all boardrooms are kept clean and reports any boardrooms which require repair, for example, dirty carpets and scratches on furniture
  • assists with the set-up for special functions
  • performs other steward duties as assigned

Position Requirements:

Education and Experience

The position requires a high school diploma, as well as a minimum of two years of experience working in the hospitality industry. Reception and customer service experience will be considered an asset. An equivalent combination of education, training and experience may be acceptable.

Knowledge and Skills

  • customer service oriented
  • oral communication and interpersonal skills required to interact with many individuals including lawyers and external clients
  • effective time management and multi-task skills
  • problem solving skills required to resolve challenges in an expedient fashion
  • basic arithmetic skills required (i.e., to perform inventory)
  • knowledge of computer applications (Event Management System – EMS, Outlook)
