The Business Office Manager is an important part of the hospice team. Your organization, responsiveness, and leadership help create the foundation that allows our clinical team to focus on what matters most—providing compassionate care to patients and their families.

Lead Office Operations

  • Oversee daily business office functions, including clerical operations, personnel support, medical records, office equipment, and payroll processes.
  • Coordinate payroll activities to ensure timely and accurate communication, documentation, and resolution of issues.
  • Support billing and other financial functions as needed.
  • Manage accounts payable processes and related communications.
  • Serve as a key point of contact between the local office and the Support Center regarding deadlines, financial reporting, and statistical reporting.
  • Ensure the office operates in accordance with applicable state, federal, and local regulations.

Keep the Team Equipped for Success

  • Manage medical and office supply ordering, stocking, and inventory.
  • Maintain appropriate levels of forms, educational materials, and other resources needed by the team.
  • Oversee office communication tools, including telephones, tablets, pagers, mail, and other equipment.
  • Track physician orders and ensure appropriate follow-up and communication.
  • Coordinate building maintenance and communicate facility needs as necessary.

Support Patients, Families & Clinical Teams

  • Work closely with the Interdisciplinary Group/Team (IDG/IDT) to help ensure patient and family needs are addressed.
  • Communicate professionally with attending physicians, hospice physicians, and other providers involved in patient care.
  • Support an efficient and customer-focused flow of communication throughout the office.
  • Use strong interpersonal and communication skills to help create a positive experience for patients, families, physicians, and team members.
  • Protect and maintain the confidentiality of patient and employee information.

Lead & Develop Your Team

  • Provide oversight and direction to administrative and clerical team members, including Business Support Staff.
  • Foster a collaborative, respectful, and service-focused office environment.
  • Support employees with questions, concerns, and day-to-day operational needs.
  • Promote the hospice philosophy, organizational values, and administrative policies.
  • Monitor operational performance and work toward established goals, objectives, and continuous improvement.

Technology & Administrative Support

  • Utilize Electronic Health Records (EHR) and other technology to support patient care and business operations.
  • Perform accurate data entry, reporting, and documentation.
  • Maintain organized and efficient office processes.
  • Perform on-call responsibilities and provide support to patients and families as assigned.

Requirements

Qualifications

  • High school diploma or equivalent required.
  • Bachelor's degree in business administration, healthcare leadership, or a related field preferred.
  • Minimum of 2 years of office or administrative experience required.
  • Healthcare experience preferred; hospice, home health, or other healthcare operations experience is a plus.
  • Previous supervisory or management experience preferred.
  • Experience supporting hospice operations, community resources, or healthcare operations is highly valued.
  • Working knowledge of Microsoft Office products.
  • Knowledge of applicable state and federal healthcare regulations.
  • Strong organizational, communication, and problem-solving skills.
  • Ability to establish and maintain effective relationships with patients, families, physicians, employees, the IDG/IDT, and community partners.
  • Ability to maintain confidential information and exercise sound judgment.
  • Self-directed, motivated, and comfortable working independently.
  • Ability to supervise and support professional and administrative personnel in a home health/hospice environment.
  • Reliable transportation and valid auto liability insurance required.
