General Summary

  • The Office Coordinator provides administrative and clerical support as directed by leadership and is responsible for daily office operations. This role supports the Home Care team by helping ensure quality patient care and effective coordination, facilitating communication among multidisciplinary staff, and providing billing and clerical assistance. The Office Coordinator communicates professionally and effectively with patients, staff, and the public to meet Home Care needs and support excellent service.

Essential Duties and Responsibilities

  • Prepares and submits invoices for approval and timely payment processing.
  • Manages fleet vehicle operations, leases, maintenance, tracking, and related incident documentation.
  • Maintains petty cash procedures, documentation, reconciliation, and replenishment requests.
  • Coordinates front desk/secretary coverage and oversees after-hours/on-call processes.
  • Maintains employee records, supports HR-related tasks, and coordinates staff training.
  • Orders and manages non-medical supplies, department forms, and inventory needs.
  • Oversees timekeeping, payroll accuracy, mileage reimbursements, and employee expense reports.
  • Supports departmental budgeting, contracts, communication, and director scheduling, projects, and events.

Education

  • High School Diploma or GED required. Associates degree preferred.

Experience

  • Previous experience in the health care field preferred. Proficient in use of computer applications.

Certification/License

  • Valid Drivers License required and declaration of automobile liability insurance.

Mental/Physical Requirements

  • Handles multiple priorities. Manages stress appropriately. Works with others effectively. Ability to receive and express detailed information through oral communication, visual acuity and the ability to read and understand written directions. Excellent computer skills. Minimum typing skills of 60 wpm. Knowledge of medical terminology preferred. Organizational skills. Occasionally lifts and transports items weighing up to ten (10) pounds. Ability to safely operate a motor vehicle.
