Assisting Hands Home Care Serving Jacksonville Beaches is hiring an experienced, full-time Home Care Scheduler to manage recurring caregiver schedules and ongoing client coverage.

This is not a front-desk or patient appointment scheduling position. You will work with caregivers and clients we know, solve daily coverage problems, and help make sure our clients receive dependable care in their homes.

Scheduling is one of the most important parts of our business. Most days involve solving scheduling puzzles, building relationships, supporting caregivers, and finding thoughtful solutions as client needs change. When a caregiver calls out or a new case begins, you will decide how to respond, communicate clearly, and follow through until the issue is resolved.

You will have support from a small office team and a 24/7 after-hours team. During business hours, you will own the schedule and make the day-to-day scheduling decisions.

What You Will Do
  •  Manage recurring caregiver schedules, including assignments, call-offs, time-off requests, open shifts, and last-minute changes 
  •  Match caregivers with clients based on care needs, skills, availability, location, preferences, and compatibility 
  •  Staff new cases and adjust schedules as client needs or authorized hours change 
  •  Build positive working relationships with caregivers, clients, and families 
  •  Communicate schedule changes clearly, respectfully, and promptly 
  •  Handle urgent problems and difficult conversations calmly and professionally 
  •  Monitor open shifts, overtime, caregiver availability, and future staffing needs 
  •  Work with Recruiting when additional caregivers are needed 
  •  Keep schedules, notes, and tasks accurate and current in WellSky and other office systems 
  •  Prepare clear daily handoffs and weekend coverage plans for the after-hours team 
  •  Provide after-hours escalation support when the team needs guidance or a scheduling decision when the office is closed
  •  Follow through on commitments and close open issues without needing repeated reminders 
What We Are Looking For
  •  At least one year of direct experience scheduling caregivers, home health staff, field clinicians, or other direct-care employees
  •  Two or more years of directly relevant scheduling experience strongly preferred 
  •  Experience managing recurring staff and client schedules, rather than one-time patient appointments 
  •  Experience personally handling call-outs, finding replacement coverage, and adjusting staff assignments 
  •  Home care, private duty, home health, hospice, assisted living, skilled nursing, or residential care experience strongly preferred 
  •  Clear and professional phone, written, and in-person communication 
  •  Strong attention to detail and the ability to manage several priorities without losing track of follow-up 
  •  Ability to make timely scheduling decisions and work independently 
  •  Experience with WellSky or comparable home care scheduling software preferred 
  •  Ability to work full-time in our Jacksonville office 
  •  Successful completion of a Level II background screening 
We will train you on our clients, caregivers, systems, and agency procedures. We are looking for someone who already understands the core work of care-team scheduling and can begin taking ownership quickly.

Schedule and Compensation
  •  Full-time, fully in-office position 
  •  Monday through Friday starting at 9:00 AM 
  •  Salary of $55,000 to $62,500 per year, based on directly relevant experience 
  •  Candidates with proven home care or home health scheduling experience, caregiver coverage responsibility, and after-hours escalation experience may qualify at the top of the range 
  •  Two weeks of paid time off per year 
  •  Our after-hours team handles routine evening and weekend calls. The Home Care Scheduler provides escalation support when guidance or a scheduling decision is needed.
