Position Purpose: Serves the counseling/administrative staff by processing and maintaining accurate school/student records and completing other tasks of the counseling office as requested.

Responsibilities

1. Clerical Support: performs work of a general office nature that assists with the smooth operation of the building.Priority: Essential | Percent of Time: 50%

Examples of this work include:

  • Schedules appointments, meetings, maintains calendars, etc. for counselors.
  • Files paper and electronic records, memos, background checks, and other sensitive documentation.
  • Answers routine phone inquiries, takes messages, routes calls.
  • Records and transcribes notes for correspondence.
  • Distributes mail for counseling department.
  • Serves as the Records Retention Clerk for the building.
  • Coordinates and processes college applications and transcripts for students.
  • Assists the counseling and guidance department with creating and mailing correspondence, scheduling, and formats documents as requested.
  • Assists with event coordination such as school registration, graduations, and student evaluations/assessments.

2. Data Entry: enters and updates information utilizing various software and the district's business management software.Priority: Essential | Percent of Time: 35%

Examples of this work include:

  • Responds to inquiries from students, teachers, and parents regarding attendance rules, absences, suspensions, and enrollment status.
  • Compiles and submits a variety of weekly, monthly and year-end reports as required.
  • Processes withdrawals and sends out files to other schools as requested.
  • Processes and maintains student records including but not limited to transcripts, grades, and transfer credits.
  • Registers new students and requests and processes new student records.
  • Maintains student demographics on computer.

3. Other duties as assigned.Priority: Secondary | Percent of Time: 15%

Examples of this work include:

  • Maintains TV monitor announcements.
  • Serves as a back-up for other building level office staff and their duties as directed by the building principal; examples include student supervision, dispensing medication, and escorting visitors.
  • Attends professional development training as needed and as required.


Minimum Qualifications
High School Diploma or GED.
Minimum three years of clerical work experience.
Strong computer skills, especially Google Docs.
Experience working respectfully and collaboratively with diverse populations.
Skilled in composition of letters, publications and reports. Must possess good grammar/spelling punctuation skills as well as editing and proofreading skills.
Demonstrated ability to take initiative to complete tasks.

Preferred Qualifications
Associates Degree in Business Administration or a similar field.
Experience working at a secondary school in a clerical position.
Advanced knowledge and operational understanding of PowerSchool.
