Job Description

This position works year round, 8 hours daily, Monday - Friday. Base hourly rate is $18.81 with additional compensation for work-related experience and level of education.

Purpose: The HS/MS Head Secretary � Bookkeeper coordinates office and clerical support to assist with the efficient operation of the school district. To accomplish these tasks, the HS/MS Head Secretary - Bookkeeper works closely with the staff and administration of USD 253.

Payment rate: As established by the Emporia Board of Education

Qualifications:

  1. High school diploma or equivalent.
  2. Experience as a secretary.
  3. Demonstrated computer and filing skills.
  4. Experience using various computers and computer programs.
  5. Desire to continue career improvement.
  6. Health and Inoculation Certificate on file in the Central Office.
  7. Such alternatives to the above qualifications as the board may find appropriate and acceptable.

Essential Functions:

  1. Coordinate office and clerical support to assist with the efficient operation of the school district.
  2. Ensure that all financial activities conform to district guidelines.
  3. Communicate effectively with all members of the school district and community.
  4. React to change productively and handle other tasks as assigned.
  5. Appropriately operate all equipment as required.
  6. Support the value of an education.
  7. Support the vision and mission of USD 253.

Physical Requirements/Environmental Conditions:

  1. Requires prolonged sitting or standing.
  2. Occasionally requires physical exertion to manually move, lift, carry, pull, or push heavy objects or materials.
  3. Occasionally requires stooping, bending, and reaching.
  4. Must work in noisy and crowded environments.

General Responsibilities:

  1. Coordinate and supervise office and clerical support.
  2. Screen visitors and telephone calls, directing them to the appropriate person/department.
  3. Compose, type, and copy correspondence, reports, bulletins, records, and other materials.
  4. Obtain, gather, and organize pertinent data including student, teacher, and classified employee files as needed.
  5. Maintain and orderly filing system.
  6. Schedule appointments.
  7. Assist in planning meeting agendas, and assist in preparing meeting summaries.
  8. Maintain a check out process for the school credit cards, and keep an accurate record of expenses and reimbursements to the district.
  9. Prepare a money box for all activities/athletic events when there is an admission charged.
  10. Plan/coordinate meals for recognitions/appreciation events of staff and students as needed.
  11. Secure registrations/hotel accommodations and coordinate flights as needed for staff attending conferences and workshops.
  12. Assist with approval of classified absences.
  13. Collect, report, and deposit money received.
  14. Prepare checks, and disbursement orders for principal's signature. Maintain accurate ledger for all funds.
  15. Assist in preparing financial reports.
  16. Assist with enrollment.
  17. Distribute office passes and notes as directed.
  18. Assist with preparing student awards.
  19. Maintain an accurate inventory of student books and teacher materials.
  20. Order, receive and distribute supplies.
  21. Assist with substitute teachers as needed.
  22. Place orders for materials, verify quantities delivered, and distribute to staff.
  23. Respect the confidentiality of records and information regarding students, parents, and teachers in accordance with accepted professional ethics, and state and federal laws.
  24. Strive to maintain and improve professional competence.
  25. Stay abreast of new technologies, data management and communication.
  26. Comply with legal and regulatory requirements as provided by state and federal law.
  27. Uphold and enforce board policy, administrative procedures, and school rules/regulations including but not limited to:
  • Acceptable use of technology
  • Sexual and racial harassment
  • Child abuse reporting
  • Health and safety including all precautions of the Bloodborne Pathogens Exposure Control Plan
  1. Maintain safe and well-organized instructional spaces.
  2. Respond to change in a productive manner.
  3. Strive to communicate the positive aspects of our school program to the public in word and deed.
  4. Other duties as assigned by the Principal.
