About the Role:



Snapscale is looking for a reliable, detail-oriented, and healthcare-trained Healthcare Virtual Assistant (HVA) to support a US-based Direct Primary Care practice with referral coordination, prior authorizations, insurance-related administrative tasks, and patient follow-ups.

This role is ideal for someone who takes ownership of their work from start to finish. The successful candidate will be responsible not only for starting referrals and prior authorization requests, but also for tracking each item through completion, proactively following up on delays, and ensuring that no task is left unresolved.

The practice is looking for a dependable team member who can help reduce administrative workload, eliminate backlogs, prevent patient delays, and allow the in-office clinical and administrative team to focus on patient care.

This is a part-time, dedicated onsite position of approximately 20 hours per week, with the potential for continued long-term engagement based on performance and business needs.

Responsibilities may include:



  • Manage patient referrals from initial assignment through completion
  • Process and coordinate prior authorization requests
  • Submit required referral and authorization documentation
  • Follow up with insurance companies, referral partners, and other healthcare organizations as needed
  • Track open referrals and prior authorizations to ensure timely completion
  • Proactively follow up on pending, delayed, or incomplete requests
  • Monitor outstanding tasks and prevent referrals or authorizations from becoming overdue
  • Communicate referral and authorization status to the appropriate internal team members
  • Coordinate referrals and specialist appointments
  • Assist with insurance verification and pre-authorization processes
  • Manage patient follow-ups and recalls related to referrals and authorizations
  • Communicate with patients regarding referral and authorization status when appropriate
  • Maintain accurate documentation of referral and authorization activity
  • Update patient records and administrative information in the EMR
  • Maintain organized tracking of open and completed items
  • Assist with resolving incomplete or previously backlogged referral and authorization tasks
  • Follow established practice workflows and procedures
  • Maintain confidentiality when handling patient information and protected health information (PHI)
  • Provide additional healthcare administrative support as assigned

Requirements

  • Previous experience as a Healthcare Virtual Assistant, Medical Virtual Assistant, Referral Coordinator, Prior Authorization Specialist, Medical Administrative Assistant, or similar healthcare role
  • Hands-on experience managing referrals and/or prior authorizations is strongly preferred
  • Experience supporting a US-based healthcare or medical practice is preferred
  • Familiarity with insurance verification, referrals, prior authorizations, and healthcare administrative workflows
  • Strong understanding of the importance of tracking healthcare tasks through final resolution
  • Exceptional attention to detail and follow-through
  • Proven ability to manage multiple open tasks without losing track of deadlines
  • Highly organized and capable of maintaining accurate task and referral records
  • Proactive in identifying delays, missing information, and unresolved requests
  • Strong written and verbal English communication skills
  • Comfortable communicating with patients, insurance companies, healthcare providers, and specialist offices
  • Experience working with EMR/EHR systems is preferred
  • Willing to learn and work with Akute EMR and other client-specific systems
  • Comfortable using Microsoft Teams, Office 365, and other computer-based applications
  • Able to work independently while maintaining consistent productivity and accountability
  • Reliable and committed to completing assigned work without constant supervision
  • Must be willing to work onsite in Davao
