About the Role:
Snapscale is looking for a reliable, detail-oriented Healthcare Virtual Assistant (HVA) to support the remote daily front office operations of a US-based healthcare clinic.
This role combines virtual front-desk patient coordination, intake and onboarding, insurance verification and pre-authorizations, and patient scheduling. The ideal candidate is a proactive multitasker with strong administrative skills, capable of managing patient workflows, handling inquiries, and maintaining accurate records while working seamlessly with the clinic’s remote and in-office team.
Responsibilities may include:
- Carry out new patient onboarding procedures, ensuring completion of intake forms and setup of patient profiles in the system
- Verify insurance eligibility and benefits or establish self-pay status
- Manage incoming phone calls, message distribution, and general patient communications
- Receive, document, and process incoming patient referrals
- Schedule patient appointments in adherence with schedule parameters, plan-of-care guidelines, and waitlists
- Support virtual patient check-in/check-out procedures (via HiBridge kiosk) and assist with time-of-service payment collections
- Monitor eligibility, obtain prior authorizations, and assist with billing or account questions
- Process requests for records, statements, and general correspondence or reports
- Assist with the audit and reconciliation of third-party or patient payments and fix demographic/claim errors
- Provide timely notifications and updates to the Clinic Manager regarding scheduling issues, patient complaints, HIPAA matters, or insurance barriers

Requirements
- Previous experience as a Healthcare Virtual Assistant, Medical Virtual Assistant, Patient Coordinator, Medical Receptionist, Front Desk Associate, Medical Administrative Assistant, or similar healthcare role.
- Experience with patient onboarding, scheduling, insurance verification, or healthcare front office operations is preferred.
- Experience using EMR/EHR or Practice Management Software is preferred.
- Proficiency in Google Workspace and other computer-based applications.
- Strong written and verbal English communication skills.
- Spanish/English bilingual skills are preferred.
- Excellent attention to detail, particularly with data entry and patient information.
- Highly organized with the ability to prioritize multiple tasks.
- Comfortable communicating with patients, providers, clinic staff, payers, and management remotely.
- Able to handle confidential patient information and follow HIPAA requirements.
- Able to work independently while maintaining accuracy, productivity, and accountability.
- Must be willing to work onsite in Davao.
