About the Role:
Snapscale is looking for a proactive, outgoing, and detail-oriented Healthcare Virtual Assistant (HVA) to support a US-based Direct Primary Care (DPC) practice.
This is a full-time role combining front-office and back-office healthcare administrative support. The HVA will assist with member engagement, appointment scheduling, patient inquiries, referrals, insurance-related tasks, records, follow-ups, lead management, and other day-to-day administrative responsibilities.
The ideal candidate is someone who takes initiative and ownership, communicates confidently with patients and prospective members, and can anticipate the next steps needed to complete a task rather than waiting for detailed instructions.
This role is highly patient-facing, so excellent spoken English, professionalism, empathy, and the ability to communicate information clearly are essential.
Responsibilities may include:
- Handle patient/member calls, messages, inquiries, and concerns.
- Manage appointment scheduling, confirmations, reminders, and telehealth coordination.
- Support DPC member engagement, intake, registration, and prospective-member inquiries.
- Follow up with leads from paid social media campaigns and assist with member conversion.
- Maintain accurate lead, patient, and member records and follow-up documentation.
- Coordinate referrals, specialist appointments, insurance verification, and prior authorizations.
- Assist with medical records, lab results, prescription refills, and provider follow-ups.
- Manage EMR, patient portals, online chat, and HIPAA-compliant communications.
- Prepare provider schedules, daily agendas, statements, and administrative reports.
- Support claims follow-up, payment inquiries, patient satisfaction, and outreach activities.
- Proactively track pending tasks, ensure closed-loop follow-up, and identify workflow improvements.
- Perform other healthcare administrative tasks as assigned.

Requirements
- 1+ year of experience as a Healthcare VA, Medical VA, Patient Coordinator, or similar healthcare role
- Experience supporting a US-based healthcare practice preferred
- Experience with patient communication, scheduling, referrals, or healthcare administration
- Strong experience handling inbound/outbound calls and patient/member inquiries
- Lead management, outreach, or appointment conversion experience is a plus
- Excellent spoken and written English communication skills
- Highly organized, detail-oriented, and strong in follow-up
- Proactive, accountable, and able to work independently
- Able to manage multiple tasks while maintaining accuracy
- Professional, patient-focused, and comfortable communicating with members
- Willing to learn new healthcare systems and identify workflow improvements
- Knowledge of HIPAA-compliant procedures and patient confidentiality
