He aha te tūranga - About the role:

The HSW Administrator is the engine room of our Health, Safety and Wellbeing team, keeping everything running smoothly behind the scenes. You’ll provide essential admin, coordination, and financial support, manage key workflows, maintain accurate records, and support provider and contract processes.

This role is central to how we operate — helping the team stay organised, connected, and focused on delivering great outcomes for the organisation. This position can be based in either Auckland or Hamilton.

  • Maintain accurate and up-to-date records across HSW systems, intranet sites, and contract information.
  • Coordinate meetings and workshops, including scheduling, logistics, materials, and minute-taking.
  • Support data entry, tracking, and basic reporting across areas such as health screening, ACC claims, and monitoring activities.
  • Coordinate key HSW workflows including health screening, monitoring programmes, provider referrals, and related processes.
  • Monitor HSW shared inboxes and channels.
  • Maintain HSW policies, procedures, and intranet content, ensuring version control and scheduled reviews are completed.
  • Manage basic financial administration including invoices, purchase orders, payments, and vendor set-up.

You bring a willingness to learn and adapt, quickly building new skills and supporting others in a responsive, customer-focused way. With professionalism, integrity, and sound judgement, you build positive working relationships and contribute to a collaborative team culture. You take ownership of your work, show initiative, and consistently follow through on commitments.

To be successful in this role, you will have:

  • Experience providing administrative support in a busy, service-focused environment.
  • Strong organisational skills with the ability to manage workflows, schedules, and competing priorities.
  • Ability to maintain accurate records and handle confidential information appropriately.
  • High attention to detail with experience supporting documentation, reporting, and process consistency.
  • Strong communication and interpersonal skills with a professional stakeholder approach.
  • Proficient in Microsoft Office and organisational systems, including data entry and document management.
  • A recognised qualification In Business Administration, Office Administration, Health Administration, or related discipline is desirable.
