Summary
The Health Information Management (HIM) Specialist is responsible for maintaining, securing, and managing patient health records in compliance with federal, state, and organizational regulations. This role ensures the accuracy, accessibility, integrity, and confidentiality of health information across healthcare systems.
Essential Functions
As a HIM Specialist, you will:
- Review, process, and maintain patient medical records (electronic and paper)
- Ensure documentation compliance with HIPAA and regulatory standards
- Manage Release of Information (ROI) requests
- Monitor data quality and correct discrepancies
- Prepare paper records for scanning (remove staples, organize documents, verify patient identifiers)
- Scan and index records accurately into the EHR system
- Perform quality checks to ensure clarity, completeness, and accuracy of scanned images
- Retrieve and refile paper charts as needed
- Assist with record retention and destruction according to policy
- Support clinical staff with documentation improvement initiatives
- Assist with accreditation and compliance reviews
- Maintain strict confidentiality of Protected Health Information (PHI)
- Answer incoming calls professionally and verify caller identity prior to releasing information
- Respond to inquiries regarding medical record requests, ROI status, billing-related documentation (redirect when appropriate), and physician office requests
Education and Experience
- High School Diploma or equivalent required
- Experience with Electronic Health Record (EHR) systems
- Understanding of healthcare regulations and compliance standards
- Strong attention to detail and organizational skills
- Excellent written and verbal communication skills
- Strong analytical and problem-solving abilities
- Ability to handle sensitive information with discretion
Physical Requirements
- Ability to sit or stand for extended periods
- Light lifting (up to 10 pounds) using proper lifting techniques
- Walking, bending, reaching, stair climbing, pushing, pulling, squatting, and grasping on a continuous basis
- Minimal travel required

Boone Memorial Health is a nonprofit healthcare company based in Boone County, West Virginia which owns and operates a critical access hospital with a 25-bed inpatient unit, Level IV Trauma Center, and Black Lung Center; two rural health clinics with two expansion locations; and a substance and mental health treatment program.
