Job Description

Hematology Oncology Associates of CNY (HOACNY), voted one of Central New York’s Best Places to Work, is looking for a full time HIRS Manager to join our professional team. HOACNY provides cancer care services, Monday through Friday, day hours at three convenient locations in East Syracuse, Camillus and Auburn. Core Duties & Responsibilities

· Departmental Leadership & Employee Relations: Plans, coordinates, and directs daily operations, work schedules, assignments, coverage and payroll. Prepares yearly performance evaluations and handles Human Resource activities for department staff. Participates in disciplinary action for staff when appropriate and partakes in hiring, with support from Director.

· Training & Workflow Management: Maintains internal workflow. Oversees initial onboarding, cross-training, and the creation/maintenance of the HIRS training manual. Provides hands-on coverage within the department when necessary.

· Referral & Schedule Management: Monitors and manages all new, documentation-heavy, and urgent referrals to the practice. Manages bi-weekly "next available appointment" reporting.

· Policy, Compliance & Audits: Establishes and implements policies for the distribution, use, and purging of medical records. Adheres to HIPAA and NYS privacy guidelines for PHI. Directs the completion of disability/FMLA paperwork and timely responses to CMS/contractor audit requests.

· Quality Control & Reporting: Ensures medical records are complete, accurate, secure, and filed timely. Utilizes ONCO EMR, G-4, and UF systems. Compiles statistical data, collects reports, and identifies system problems to implement improvements.

· Professional Development: Attends leadership training, required meetings, and designated committees. Participates in continuing education via conferences, webinars, and in-service programs.

Performance Requirements (Knowledge, Skills, & Abilities)

· Technical Knowledge: Medical terminology • Computer systems (ONCO EMR, G-4, UF, Qgenda) • Medical record classification, indexing, and quality control methods

· Legal & Regulatory: Comprehensive knowledge of HIPAA, NYS privacy guidelines, and laws regarding the appropriate release of medical information to third parties

· Core Skills: Executive decision-making and problem-solving • Detailed record keeping and analytical report preparation • Professional etiquette and verbal/written communication

· Interpersonal: Ability to establish and maintain highly effective working relationships with physicians, staff, patients, and external organizations

Requirements

· Education: AAS in Health Information Management (HIM) or a Bachelor's degree preferred

· Experience: Minimum 3 years of employment in a Medical Records/HIRS department setting. Prior leadership, supervisory, or HR management experience is strongly preferred.

· Certifications: RHIT certification preferred.

· Alternative to Minimum Qualifications: Will consider a High School graduate with a minimum of 2 years of specialized medical office experience.
