Health Information Coordinator

Department: Community & Behavioral Services

Location: Juneau, AK

Covered Position: Yes

Exemption Status: Non-Exempt

Pay Grade(s): 10/11 ($33.62+ DOE)

Purpose: The Health Information Coordinator oversees the accuracy, integrity, confidentiality, accessibility, and appropriate use and disclosure of participant health information for the Community and Behavioral Services division. The incumbent coordinates health information management activities, supports staff and participants in the electronic health record (EHR) system, monitors documentation and record quality, and helps ensure compliance with applicable privacy, confidentiality, and records-management requirements.

Essential Functions. An individual in this role must be able to perform the following functions with or without reasonable accommodation:

· Develop and maintain accurate, complete, and confidential participant health records, including processing referrals, creating participant charts in the EHR, enrolling participants in appropriate programs, and establishing participant access to applicable online systems.

· Conduct routine and targeted chart audits to assess completeness, accuracy, timeliness, and compliance; identify deficiencies and coordinate follow-up and correction as appropriate.

· Coordinate requests for release of information (ROI), including obtaining and reviewing appropriate authorizations and preparing records for release.

· Coordinate and track disclosures of protected and confidential health information and maintain required disclosure and release logs.

· Coordinate responses to subpoenas, court orders, legal requests, and other requests for records in consultation with legal counsel and organizational leadership, as appropriate.

· Verify participant eligibility information, including insurance coverage, Tribal enrollment status, and other program eligibility requirements, as applicable.

· Monitor health information practices for compliance with HIPAA, 42 CFR Part 2, applicable Tribal requirements, organizational policies, and other applicable privacy, confidentiality, and records-management requirements.

· Maintain the integrity and quality of participant information within the EHR, including identifying duplicate, incomplete, inconsistent, or inaccurate information and coordinating corrections.

· Monitor documentation completion and turnaround times and communicate identified deficiencies, trends, or compliance concerns to appropriate staff and leadership.

· Coordinate and maintain clinical groups, templates, workflows, or other assigned health-information functions within the EHR.

· Provide EHR and health information support, guidance, and training to staff and participants, including assistance with record access, documentation processes, and system functionality within the scope of the position.

· Compile, track, and report health information metrics, audit findings, documentation trends, and other information to support quality improvement and compliance initiatives.

· Assist in developing, implementing, and maintaining health information policies, procedures, workflows, and standards.

· Support quality improvement activities related to documentation quality, data integrity, records management, privacy, and EHR utilization.

· Maintain current knowledge of applicable health information management practices, privacy and confidentiality requirements, EHR functionality, and Community and Behavioral Services program requirements.

· Participate in or facilitate meetings, trainings, audits, and other activities as requested.

· Understanding of and ability to work in alignment with the Tribe's mission, culture, values, policies, and practices

Minimum Qualifications (education, experience, skills):

· AA Degree in Business, Social Sciences, or closely related field OR an equivalent combination of education and relevant experience that demonstrates ability to successfully fulfill position functions.

· Two (2) – Four (4) years related experience

Preferred Qualifications (education, experience, skills):

· Experience in behavioral services

· The majority of work is performed in a professional office setting and is generally sedentary, requiring routine walking, standing, bending, and carrying of items weighing less than 40 lbs

Work Environment. The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job:

· Some travel may be required on small aircraft or ferry.

· Certain positions at Tlingit and Haida may have exposure to certain hazardous materials or conditions. The supervisor will review these if applicable.
