Job Description

Dedicated Medical Assistant with strong knowledge of occupational health practices, emergency handling, and statutory compliance. Proficient in maintaining Form 21, conducting basic medical assessments, and assisting in workplace health initiatives.

Key Responsibilities:

Key Responsibilities (ANM/GNM/B.Sc. nursing – Occupational Health)

1. Emergency Care & First Aid-:

Provide immediate first aid and basic life support (BLS) in case of injuries, accidents, or medical emergencies. Stabilize patients and coordinate referral/ambulance services to higher medical centers. Assist in management of burns, fractures, cuts, avulsions, chemical exposure, and heat-related illnesses. Maintain emergency readiness including oxygen cylinders, AED (if available), and emergency drugs.

2. Clinical & Nursing Support-: Deliver basic nursing care (dressing, wound care, injections, IV support as permitted). Assist Medical Officer during examinations, minor procedures, and treatment protocols. Monitor patient progress and ensure proper follow-up and compliance with treatment advice. Maintain infection control practices and clinical hygiene standards.

3. Occupational Health Services-: Assist in pre-employment, periodic, and exit medical examinations as per statutory requirements. Support occupational health surveillance programs, including: Audiometry, Spirometry, Vision testing, Biological monitoring (as applicable) Identify and escalate abnormal findings to the Medical Officer.

4. Health Monitoring & Documentation-: Record and monitor vital signs: BP, pulse, temperature, SpO₂, BMI, RBS. Maintain accurate and updated employee health records, including:

Form 21 (Health Register)

Medical examination reports

Fitness certificates

Ensure timely and accurate data entry in Occucare/software systems.

Maintain proper documentation for audit and statutory inspections.

5. Incident Management & Reporting-: Ensure timely reporting of workplace injuries and illnesses. Prepare and maintain incident records, treatment notes, and follow-up status. Assist in root cause analysis (RCA) support from a medical perspective. Maintain records of near-miss and first aid cases. 6. First Aid Room & Inventory Management-: Ensure 24/7 readiness of First Aid Room.

Maintain stock and availability of: Medicines and consumables, Sterile dressings and PPE

Emergency kits, Track medicine expiry, consumption, and indenting requirements.

7. Biomedical Waste Management-: Ensure proper segregation, labeling, storage, and disposal of biomedical waste. Maintain BMW records, logs, manifests, and vendor coordination. Ensure compliance with Biomedical Waste Management Rules.

8. Health & Wellness Initiatives-: Support implementation of employee health programs, such as: Health check-up camps (BP, sugar, BMI screening), Vaccination drives, Mental health awareness, Ergonomic and lifestyle modification programs, Conduct toolbox talks and awareness sessions (heat stress, hygiene, ergonomics).

9. Training & Emergency Preparedness-: Assist in First Aid & CPR training for employees (minimum statutory requirements). Participate in and support mock drills (fire, chemical exposure, mass casualty). Ensure readiness of emergency response systems at plant level.

10. Compliance & Audit Support-: Ensure adherence to: Factories Act (Occupational Health provisions), Company EHS standards, Statutory medical examination schedules, Support internal and external audits with proper documentation and records. Highlight gaps and support implementation of corrective and preventive actions (CAPA).

11. Coordination & Communication-: Coordinate with: Medical Officer (clinical guidance), HR & Safety Team (compliance & reporting), External labs/hospitals/vendors (diagnostics & referrals), Communicate effectively with employees regarding health status, precautions, and follow-ups.

12. Shift & Operational Support-: Be available for shift duties, overtime, and emergency coverage as per plant requirements. Ensure continuous medical support during working hours and critical operations.

Work Related Injury and Illness Management - Communicates and documents work related injuries or illnesses through application of Cummins reporting guidelines and relevant regulations to classify and manage the event and its consequences as well as achieve regulatory compliance; cares for the affected employees by facilitating clinical treatment practices and applying case management processes to restore the employee to his/her normal condition.

Education, Licenses, Certifications:
ANM / GNM / Diploma in Nursing from a recognized institute

Valid State Nursing Council Registration (mandatory)

Experience:
1–5 years of experience in hospital / occupational health / industrial setup (preferred)

Experience in first aid, emergency care, and workplace health services will be an added advantage

Exposure to medical documentation, health check-ups, and compliance activities.

Technical Competencies-:

Knowledge of occupational health practices and industrial hazards

Computer skills: Good knowledge of MS Excel, MS Word, Power point presentation email, Occucare or similar software

Good communication skills (employee interaction, coordination with teams)

High level of attention to detail and documentation accuracy

He / She must report on duty 15 minutes prior to starting of his / her shift.

• Not to leave the HCC before end of shift.

• Not to leave the HCC unattended at any time of the shift.

• The HCC should never be unmanned.

• The Medical assistant should give the proper over to the next MA before leaving the HCC.

• Take prior approval from the Medical officer in case of any leave or change in schedule. The

medical assistants should follow the protocol for leave approval before proceeding with the

planned leave.

• Work location would change as per the rotation.

• Medical assistant to maintain the hygiene & good housekeeping of the HCC with the help of Facility staff.

Medical Treatment:

• To provide first aid medical treatment to any employee who is in need of it.

• To provide the primary line of treatment to the employees attending the OPD.

• When in doubt /if the employee insists should refer the employee to the Medical Officer.

• To record and report any First aid case or major injury case to the Medical officer

immediately after providing primary line of treatment.

• To assist Medical officer as and when required to conduct medical examinations or any kind

of medical treatment.

• The Medical assistant cannot issue the medical prescription to the employee.

• Medical assistant to accompany the employee to the hospital in the ambulance if needed.

• Follow up with the employee telephonically/ personally if the employee is not

well/hospitalized/employment injury cases etc.

• Medical assistant to do hospital visits (in case of hospitalization for medical illness/employment injury.)

home visits (when required for the cases of long leave on medical grounds)

• Assist in implementing the Health & wellness initiative.

Administrative:

• To assist Medical officer in proper functioning of Health care centre in respect to record

keeping (11 records), stock maintenance or any other work related to HCC.

• OPD analysis- Disease wise/Age wise/Gender wise.

• Conduct the mandatory & non mandatory health check-up.

• All mandatory health check-up.

o 18 A medical check-up.

o 7 A- Hazardous area employee medical check-up.

o Audiometry for employees working in high noise area.

o Ophthalmic check-up for Quality control employees.

o Medical check-ups for Forklift/Boon/Stacker/Crane& Hoist operators.

o Crèche staff medical check-ups

o Risk assessment of the pregnant employees working in the shop floor.

• Non mandatory health check-ups.

o HRA & Biometrics for all employees.

o 40 + health check-up.

o Annual health check-up.

• Arrange for the mandatory medical training.

• Weekly check-up of the first aid boxes & refilling them.

• Weekly check of the Oxygen cylinder (Keep the record of pressure) /suction machine/visit

bag in the HCC.

• Refilling the O2 cylinder in time.

• Weekly checking the medical equipment in HCC- MA to do & MO to supervise the work done.

• Keep the record of the same.

• Medical help of CR activities.

• Helping for arranging for Blood donation camp.

• Monthly check up of the ANC employees/awareness sessions for them/distribute the

information leaflets to them/Risk assessment of the ANC employees working on shop

floor/Follow up till 3 months post-delivery/ maintain records of each ANC & PNC.

• Medical cover for the sports activity.

• Maintain the record of the lab report of drinking water/milk & food- take the Counter sign of the MO on the reports.

• Maintain the medicine stock update.

• Weekly canteen visit. Submit the report to the MO.

• Quarterly visit to the kitchen. Submit the report to the MO.

• Weekly check-up of the ambulance. Maintain the records of the medicine stock/check the medical equipment/usage of the ambulance/details of the ambulance driver as per the shifts.

• Weekly check the AEDs in the premises. Keep the record of the AMC/expiry of the battery, pads, disposables etc. /Details of the AED trained employees.

• Dispose off the biomedical waste generated in the HCC.

• To maintain a record of all documents and update the status to the medical officer on periodic basis.

• Shop floor visits & its findings.

• To maintain record of all OPD, First aid and major injury cases and all the relevant medical records (11 records) as per Cummins norms.

• Keep the records of:

o Medical check-ups for Forklift/Boon/Stacker/Crane& Hoist operators.

o Canteen/Food handlers’ medical check-up.

o Company drivers’ medical check-ups.

o Crèche staff medical check-ups
