This person will head two teams Polish (6 people) and Romanian (3 people). 

Job Description – Head of Rental Management

Position Purpose

To ensure the comprehensive management of the lease portfolio once contracts have been executed, guaranteeing the proper administrative, financial, contractual, and operational management of real estate assets, while ensuring client satisfaction and business profitability.

Key Responsibilities

1. Strategic Leadership

• Define the Rental Management strategy in alignment with business objectives.
• Identify opportunities to optimize revenue, processes, and service quality.
• Contribute to the design, organization, and evolution of the Rental Management function.

1. Contract Management

• Oversee the proper execution of lease agreements.
• Manage lease renewals, amendments, assignments, expirations, and contractual modifications.
• Ensure compliance with contractual obligations by both landlords and tenants.

1. Financial Management

• Oversee rent invoicing and collection processes.
• Monitor guarantees, security deposits, and bank guarantees.
• Lead debt collection and arrears recovery actions in coordination with Finance and Legal teams.
• Monitor financial and business KPIs.

1. Asset and Property Management

• Contribute to the enhancement and value creation of real estate assets.
• Ensure the correct application of indexations, reconciliations, and economic lease conditions.
• Support continuous improvement initiatives aimed at maximizing asset performance.

1. Stakeholder Management

• Act as the single point of contact for tenants regarding all contractual and administrative matters.
• Coordinate closely with Leasing, Asset Management, Finance, Legal, and Shopping Centre Directors.
• Maintain effective relationships with institutions, clients, and service providers.

1. Team Leadership

• Lead, develop, and manage the Rental Management team.
• Define objectives, KPIs, and development plans.
• Ensure process quality, efficiency, and standardization across the function.

1. Reporting & Compliance

• Ensure the quality and reliability of data within Yardi and other management systems.
• Prepare activity reports and management dashboards.
• Guarantee compliance with regulatory and documentation requirements.

Required Profile

Education

• University degree in Law, Business Administration, Economics, Finance, or a related field.
• MBA or postgraduate qualification in Finance and Business Management is a plus.

Experience

• Significant experience in Retail Real Estate, Property Management, Asset Management, or Rental Management.
• Strong understanding of shopping centres and retail assets.
• Proven experience in lease negotiations, contract management, and financial management.
