Job Description

Position Summary: Responsible for end-to-end management of project administration, with a strong focus on land rights documentation, legal permits, and payment system coordination. This role ensures seamless project operations.

Job Description

1. Documentation

• Land Document Management: Oversee and control Land Reservation Agreements (LRA), Land Lease Agreements (LLA), and all land-related documents in both physical and digital formats
• Bidding Support: Organize and prepare documentation for project bidding and PPA (Power Purchase Agreement) bidding proposals.

1. Team Management & Planning

• Annual Planning: Draft and manage the yearly schedule for project administration activities.
• Team Supervision: Lead and manage the Project Admin team to ensure accurate preparation of land and project documentation, while facilitating smooth cross-functional collaboration with internal stakeholders
• Standardization: Design and issue standardized document forms for project SPVs in accordance with company policies and guidelines

1. Coordination & Financial Administration

• Oversee the end-to-end project disbursement process and serve as the final administrative gatekeeper prior to system approval submission
• Review and monitor cash advances and expense clearances via designated approval systems (e.g., ApprovalMax) to ensure budget compliance
• Collaborate with the Land and GIS teams to track project progress and manage related documentation.
• Coordinate with the Accounting department to verify monthly, periodic, and annual payments.
• Work with other departments to support project cost tracking.

1. Reporting

• Data Maintenance: Maintain up-to-date project cost tracking data and prepare summary status reports for land-related documentation (e.g., LRA, LLA)

Required Skills and Competencies

REQUIRED PROFILE

• Qualifications/Education: Bachelor’s Degree in any field (Degrees in Business Administration, Law, Management, or related fields are preferred)
• Languages/Level: Proficient in English
• Skills:
• Systematic Thinking: Ability to design, organize, and maintain document management standards in accordance with quality management principles

​- Land Documentation Knowledge: Practical understanding of land rights and legal documents (e.g., Title Deeds, Land Lease Agreements (LLA), Land Reservation Agreements (LRA)) and the ability to verify document completeness

• Financial & System Literacy: Proficiency in Microsoft Excel and experience managing payments, cash advances, and expense clearing through ERP or online approval systems.
• High Attention to Detail: Required for managing critical legal and financial project documents with high accuracy
• Communication & Collaboration: Ability to work effectively with cross-functional teams
• Accountability & Time Management: Strong organizational skills to align with project schedules and ensure all administrative deliverables are completed on time.

Experience: 5+ years of experience in Project Administration, Project Coordination, or Project Secretariat roles in real estate, renewable energy, infrastructure construction.
