Job Description

A bootstrapped marketing agency just doubled revenue this year and is on track to triple within the next 12 months. The founder is rebuilding the operating model AI-first as he scales into new clients and verticals, and this hire will be his first head of operations. You'd own the systems, manage the senior service partners, and be the operational backbone of the business.

About the Company
The business generates leads for law firms working mesothelioma cases and the closely related asbestos and talc exposure categories. Plans are in motion to expand into broader mass-tort case categories over the next six to twelve months, opening the engine to a wider range of consumer-harm work. The mechanics are paid ads, bespoke landing pages, intake validation, fraud filtering, and qualifying. The culture is direct and logic-first: decisions get made on the merits, work is async-friendly, and the team is small enough that one person's work moves the whole business.

About the Role
As the Head of Operations, you will report directly to the founder and CEO. The team is small but senior: a Director of Performance Marketing in-house, an outside AI consultant on the contextual-AI and automation build, a senior performance-marketing service partner on retainer, and design and content contractors. You define the shape of the team as the company grows.

The operating model is distributed and AI-native by design. Fully remote in the U.S., with a working-hours preference for Atlantic or Eastern time zones to overlap with the founder and current team. You'd operate on top of an active no-code (Claude Code) automation stack and the contextual-AI website system the AI consultant is building this year.

This is an operator role with architectural scope and the runway to build something that compounds. The founder is intentional about that shape: enough authority to design the system, hold the service partners accountable, and stand up the next two verticals without rushing or being second-guessed.

The Goal
In twelve months, you've built the operating system the business runs on: the operating cadence, the service partner accountability framework and the multi-vertical scaffolding.

Outcomes You'll Be Responsible For

  • Architect and run the operating system: In the first 90 days, capture every in-flight project, rank them with the founder, publish a unified roadmap, and stand up the weekly review and monthly operating cadence. Build the SOPs, KPI dashboards, and checklists that make the work visible and reviewable.
  • Own end-to-end lead-management process integrity: You own the entire lead lifecycle from ad to CRM handoff. Build the audit checks and verification steps that keep uptime intact. Lead-flow uptime is a core KPI you own.
  • Hold service partners accountable to a testing and execution cadence: You're the point of contact for partners on $20K+/month retainers. No partner sits idle. Every relationship has a backlog of test ideas, clear ship dates, and weekly status.
  • Operate on top of the AI and automation stack: You sit above the contextual-AI build and the no-code automations. You won't be building from scratch. You'll identify where AI can compress execution time, troubleshoot when systems break, and bring new opportunities to the team.
  • Stand up the scaffolding for vertical and capacity expansion: Multiply case volume with the anchor client, complete a multi-month regulatory entity setup in a new jurisdiction, bring intake in-house, monetize a recently acquired property in an adjacent vertical, and onboard additional clients.

Skills Needed to Apply

Qualifications:

  • 5+ years architecting operating systems from scratch at a scaling company. Architect of record, not just executor.
  • Strong project-management and execution discipline. You're comfortable holding senior colleagues, contractors, and external partners to deadlines.
  • Active AI fluency. You've shipped AI workflows and no-code automations (Claude Code) that changed how your team operates.
  • Track record as a single point of accountability for vendor or service-partner relationships at six- or seven-figure annual retainers.
  • Founder-led, bootstrapped, or small-team operating experience. You've worked closely with a founder, ideally as their #2 or the first senior operational hire.
  • Comfort with technical adjacency: design quality discernment, the ability to give specific feedback to a creative contractor, and enough technical fluency to troubleshoot a broken integration or read a dashboard query.

Nice to have:

  • Operating experience inside a lead-gen, performance-marketing, attribution, or RevOps environment
  • EOS Integrator (or similar operating-system framework) background
  • Direct experience hiring, onboarding, and managing a small team

Qualities

  • Owns the outcome: You take pride in being the one accountable when something breaks. You own processes from idea through shipped, and you're comfortable saying "I missed that. Here's the fix and the redundancy I'm putting in so it doesn't repeat."
  • Exceptionally organized: You think in systems, sprints, and checklists. You bring structure to the team rather than absorb it from above. You don't need the founder to set your week.
  • Candor with logic, not bluntness: Comfortable telling a colleague you disagree, but you do it respectfully and with reasoning that holds up.
  • Shipping bias: Driven by practical results: projects shipped, deadlines hit, leads protected, systems tightened.
  • Anticipator: You build visibility before something breaks (dashboards, audit checklists, deliverability monitoring) and surface risks early.
  • High do:say ratio: Your reputation is built on follow-through. You don't let shifting priorities erode commitments you already made.
  • Aligned with the operating culture: You thrive in a distributed, async-first, founder-led environment where priorities evolve weekly. The team values bright, sharp, low-ego people; the decision-making culture is logic-first and meritocratic..
