Reporting to the Head of Workplace UK & Africa, this role is part of the in-country Workplace senior management team. The primary aim of this role is to monitor and manage the efficiency, effectiveness, compliance and general performance standards of FM related services across WSP’s UK real estate portfolio.
Key activities:
- To monitor and manage the delivery of FM related services through an agreed outsourced FM model.
- To assist in the strategic development of the FM outsourcing strategy and selection of future FM supply chain partners.
- To ensure the outsourced FM supplier agreements are appropriately scoped and specified to deliver optimum value to WSP.
- To monitor the financial performance of maintaining and operating the estate working with the Head of Performance to identify cost saving measures.
- To act as the lead representative for all matters relating to change requests.
- To actively identify and implement initiatives that support the improvements to the financial performance of the CRE function.
- Manage and monitor a 5 year rolling capital investment programme including the anticipated life cycle requirements of plant and equipment.
- To prepare annual and interim opex and capex financial forecasts.
- Act as the primary interface for all matters relating to the financial performance of the FM supply chain.
- Undertake benchmarking exercises to establish performance against industry peers
- Compile and use detailed management information from various sources and systems to compile reports that illustrate the performance of the estate and inform future decision making.
- Support integration activities related to M&A activity as and when required.
Contract Management
- To be accountable for the successful operation of the chosen outsourcing strategy and act as lead point of contact on all contract negotiations.
- To ensure all FM service levels are fit-for-purpose - balancing service quality, reliability and cost appropriately and ensuring that KPI, SLA and compliance standards are monitored and maintained.
- To ensure all contract changes are managed and documented in a timely and accurate manner.
- Ensure an effective means of performance management is undertaken with the WSP supply chain and act as WSP primary point of contract for all negotiations.
- Ensure all service partners submit accurate data to compile productive management information to inform future strategy decisions.
- Work with the supply chain to ensure timely and accurate service reports are received in relation to the performance of their contract.
- Work closely with procurement in relation to all changes to contract specification and act as lead representative on behalf of CRE in re-tendering exercises.
- In conjunction with the Regional Facilities Managers, ensure routine meetings are facilitated with all key service partners to review service performance.
Compliance
- To be accountable for the monitoring the legal compliance of all WSP properties across the estate.
- To develop systems, reporting protocols and contractual relationships with WSP’s supply chain to effectively track all aspects of WSP’s statutory compliance and risk exposure.
- To develop, in conjunction with the Regional Facilities Managers, corrective action plans that address any non-conformities in a timely and responsive manner.
- To provide routine reports to the Director of Corporate Real Estate and Head of Workplace on various matters of legal compliance.
- To assess the technical skills of all CRE employee relevant to the requirements of their roles and monitor any exposures or shortfalls in training.
- To work with internal WSP Health and Safety team to ensure compliance across the estate.
Reporting. data and knowledge management:
- To ensure all data and information associated with the operational delivery of WSP’s UK real estate is effectively stored, protected and only accessed by authorised users.
- To maintain a CRE information library with appropriate revision control procedures to enable efficient information sharing.
- Work with Global FM leaders to align IWMS platforms, smart building technologies, data analytics and dashboards to provide robust and practical insights
Other
- Ensure consistently high standards for workplace experience and service excellence.
- Deputise for the Head of Workplace Operations when required to do so.
- Create Standard Operating Procedures (SOPs) and other documentation supporting the operation of the portfolio.
What we will be looking for you to demonstrate...
A qualified candidate will have a thorough understanding of facilities and project management, including the following:
- Detailed knowledge of CRE management best practices, vendor management, contract management, facilities finance operations, budgeting, and relationship management.
- Detailed knowledge of, and experience with, contracts, including knowledge of leases and facilities related agreements.
- Detailed knowledge of CRE compliance activities and requirements.
- Analytical and financial skills necessary to develop and comprehend strategic plans and budgets.
- Experience in preparing and managing operational and capital budgets.
- Ability to simultaneously manage many complex projects on tight programmes.
- Ability to manage through ambiguity and build a strong internal network.
- Proficient with MS Word, MS Excel, MS Power Point Refined interpersonal skills and demonstrated service orientation.
- Detail-oriented with solid problem-solving skills.
- Results-oriented with a desire to learn and support new technologies and processes.
- Effective organisational skills with ability to set priorities manage multiple projects and meet deadlines.
- Ability to effectively interface with all departments of the company in a highly professional manner.
- Technical experience of CAFM/IWMS systems
- Strong communication skills, both written and oral.
Education & Experience:
- BA/BS degree in business or CRE management related field or equivalent experience.
- Extensive experience in the facilities management industry and hands-on experience in managing corporate facilities and national outsourced service provider frameworks.
- Membership of IWFM, RICS or similar industry professional body is desirable.
- Good understanding of workplace sustainability and associated accreditations
