Job Description

Purpose of the Role

Overall Purpose

Lead the continuous delivery of estates Facilities Management, whilst ensuring all Health and Safety and other compliance requirements are met across the Estate and its assets.

You will be responsible for overseeing all hard/soft services as well as all compliance related matters also taking part in the development and implementation of the client’s strategies

Key Relationships

Clients, Leaseholders, Savills operational and technical teams, the Lewisham team and 3rd party contractors

Key Responsibilities

· Help manage the mobilisation of the block working with site staff and 3rd party contractors

· Manging the PPM plan for hard and soft services with 3rd party contractors

· Fire life safety system management working with 3rd party contractors

· Day-to-day go to staff member for general block queries and issues within common areas and basement

· Daily inspections of common areas, basement and external fabric of building ensuring site is clean and safe for residents and staff

· To oversee contract management and ensure value is being delivered by all suppliers and that works and prices are best.

· Ensure that all Estate Services are managed, in a proactive and compliant manner. With a strong customer service focus, which exceeds client and occupant expectations and is ahead of benchmarked estates in terms of the services and value that it offers.

· Manage the successful implementation of Savills' obligations within the Property Management Agreement for The Estate, identify and suggest areas for improvement.

· Deliver the property & estate management function.

· Develop, implement and maintain management systems for all buildings, facilities and public realm areas

· Ensure compliance with the Property Management Agreement, KPIs and SLA's, industry best practices, Professional Statement and statutory obligations.

· Develop and maintain good relations with Estate stakeholders.

· Encourage frequent and open communication and information flows on relevant building and estate issues with the Owners Association and leaseholders.

· To deliver the standards and brand values, drive the operational aspects of the placemaking initiatives, including team training, motivation and development to meet the clients requirements

· Work with the wider Estate Management team to facilitate & support the Client’s Events and Community Programmes.

· Support and contribute to occupiers (residential and commercial) communications channels.

· To understand and ensure adherence to, on behalf of the Landlord and Tenants, the obligations within the occupier lease agreements.

· Advise the General Manager (Get Living) immediately of any potential threats, major incidents or accidents

Health & Safety

  • To have responsibility for all Facilities and Environmental policies, procedures and strategies and ensuring they are adhered to throughout all levels of the organisation.

  • To work with all departments including the Compliance and Health and Safety Manager to ensure compliance across all areas of the business.

  • To support the clients on any ESG deliverables for GRESB or other efficiencies

  • Ensuring that all accidents, near misses and other risks identified, reported and recorded and any actions managed to reduce or mitigate future risks.

  • Establish emergency procedures and safe working practices to ensure as far as is reasonably practical, the health and safety of all residents, occupiers visitors, members of the public Estate employees and service providers.

Client relationship management

  • Understand the Client’s objectives and create property management plans to enable Savills to support those objectives.

  • Understand and successfully implement Savills’ obligations within the Property Management Agreement, including continual identification of areas for improvement.

  • Develop excellent relationships with representatives of the client and their advisers, reporting to the client on all aspects of the management of the property through regular formal written reports and at site meetings in addition to ad-hoc communication as required.

  • Communicate and liaise with all occupiers and in addition, to solicit feedback on the Management Team’s performance from occupiers through informal and formal communications to ensure an ethos of continual improvement and customer satisfaction.

  • To input into the scoping of future plans. Ensure that a consistent, fair and transparent approach is adopted across the estate.

  • Working with the General Manager to develop and implement a strategy to achieve industry and sector excellence awards.

  • To carry out any other such duty as reasonably directed.

Team

  • To manage and develop the Estates Services team and to oversee the soft services teams which include Public realm, Security, Waste operatives, cleaning staff and maintenance operatives.

  • Carry out the line management responsibilities including setting objectives, identifying training needs, performance reviews, and salary recommendations.

  • Develop the site team, in conjunction with the Residential and Commercial Surveyors to ensure excellent customer focused service delivery.

  • Follow the policy for recruitment of team members.

  • To ensure at all times that you and the team have the resources, support and advice needed to deliver a consistently excellent service.

Finance

  • Supporting the team (including the finance team) with invoicing, reporting and contributing toward all reports.

  • To ensure that all purchase orders are raised in accordance with the company policies and to engage in the production to reconciliations

  • Coordinate and review the service charge budgets and reconciliation packs and ensure benchmarks against competitors and recommend budgets for approval.

Skills, Knowledge and Experience

Qualifications & Experience

  • IOSH or NEBOSH

  • Qualified Member of the British Institute of Facilities Management

  • Proven track record in previous Leadership roles

  • Ability to prepare detailed board reports or client recommendation papers.

  • Experience in change management

  • An ability to problem solve and streamline services

  • Experience in utility management

  • Understanding of Health and Safety best practice

  • Excellent problem-solving ability and a logical mindset

  • Proven experience dealing with tenants on day-to-day basis

  • 3rd party contractor management

  • Hard & soft service experience

Work will involve access to peoples’ homes in their absence so discretion and confidentiality essential and previous experience in this field required

Working Hours - Fixed term role until December 2026. 8am-4.30pm

Salary - Up to £70,000p/a
