Job Description

We are looking for a highly organized, detail-oriented, and dependable HCM Admin Specialist/Officer to join our Human Capital Management team.

This role provides essential administrative and operational support to the Human Capital Management Department while serving as the executive assistant to the Human Capital Management Head. The successful candidate will handle confidential information, coordinate departmental activities, support employee-related concerns, and ensure the timely and efficient delivery of HCM administrative services.

Key Responsibilities

• Manage the HCM Head’s calendar, meetings, appointments, and correspondence.
• Prepare and maintain confidential HCM documents and employee records.
• Coordinate documents for approvals, signatures, and endorsements.
• Assist in preparing meetings, presentations, and minutes.
• Handle employee inquiries related to clearance, final pay, employment documents, and separation.
• Manage employee uniforms, IDs, and nameplates.
• Process and monitor employee clearance requirements.
• Prepare birthday and work anniversary lists.
• Assist with employee giveaways, raffle items, and other company activities.
• Process office supply and equipment requests.
• Prepare liquidations and reimbursement documents.
• Coordinate HCM travel requests, allowances, flights, and accommodations.
• Ensure administrative and travel activities follow company policies and timelines.

Qualifications

• Graduate of a 4-year course in Management, Office Administration, Psychology, Human Resource Management, or a related field.
• At least 1–2 years of related work experience (Experience in HR field is an advantage)
• Good communication and organizational skills.
• Detail-oriented and able to manage multiple tasks.
• Trustworthy and able to handle confidential information.
• Reliable and able to meet deadlines.
• Able to work well with employees, management, and other departments.
