Job Description

Woodfords Family Services is seeking a detail-oriented and qualified HCBS Program Support Coordinator to join our Adult Home & Community Based Services team in Kennebunk, Maine! This is a full-time, hourly position offering a comprehensive and competitive benefits package.

The HCBS Program Support Coordinator plays a vital role in supporting regulatory oversight, documentation compliance, and quality assurance across Home & Community Based Services programs, including Residential, Community Supports, and Shared Living. This position focuses on helping ensure that services, documentation, and program operations align with MaineCare regulations, HCBS waiver requirements, and state licensing standards. Support is delivered through documentation review, compliance tracking, staff training, quality assurance activities, and close collaboration with program leadership, staff, and administrative departments.

Key Responsibilities

  • Review service documentation and electronic health records to ensure compliance with Person-Centered Plans, Service Implementation Plans, MaineCare billing requirements, HCBS waiver expectations, and DHHS licensing standards.
  • Conduct internal documentation reviews, quality assurance audits, and compliance tracking activities across HCBS programs.
  • Work collaboratively with Program Managers, Coordinators, Direct Support Professionals, contracted providers, Human Resources, and administrative departments to address documentation concerns and support operational readiness.
  • Identify compliance risks, documentation gaps, and operational concerns, and communicate findings to program leadership in a timely and professional manner.
  • Prepare reports summarizing compliance findings and support leadership in agency audits, licensing reviews, and MaineCare documentation requests.
  • Provide documentation and compliance-related training to HCBS staff and contracted providers in person and through virtual platforms.
  • Support follow-up on quarterly record reviews, background check tracking, Evergreen data entry, and reportable event entry as assigned.
  • Maintain accurate records, documentation systems, and regulatory deadlines while promoting confidentiality and professional communication at all times.
  • Support HCBS programs in maintaining alignment with HCBS Settings Rule expectations and person-centered service delivery practices.

Opportunity Details

  • Full-time, hourly position
  • Monday through Friday, standard business hours
  • Onsite, in-person role based in Kennebunk, Maine
  • Travel to other Woodfords offices, residences, and program sites may be required
  • Limited supervisor-approved remote work may be available in short-term circumstances based on operational needs

Qualifications

  • High school diploma or GED required
  • Associate’s or Bachelor’s degree in a related field preferred
  • Direct Support Professional (DSP) certification preferred
  • At least two years of paid or volunteer experience working with children or adults required
  • Experience supporting individuals with special needs preferred
  • Valid driver’s license, reliable vehicle, and ability to report to assigned work location required
  • Ability to build and maintain effective working relationships with internal and external team members required
  • Professional writing, interpersonal, time management, and problem-solving skills required
  • Ability to speak and write English proficiently required
  • Prior managerial or supervisory experience preferred
