The primary working location for this role will be Harborview Medical Center in Seattle, WA.
GENERAL SUMMARY
The Organ Donation Coordinator (ODC) supports the mission, goals, and strategic plan of LifeCenter Northwest (LifeCenter) by evaluating organ donor referrals, conducting medical evaluation on potential organ donors, and developing a plan with the healthcare team to maintain the option of donation. The ODC supports the Organ Recovery Coordinators (ORCs) with organ donor cases, with oversight facilitates donation after circulatory arrest donation (DCD) process, communicates and documents Medical Examiner or Coroner conversations and release for donation. The ODC works closely with the family support team (FS) and ORC to provide family assessment and care. The ODC also supports the operating room by performing organ perfusion and packaging and labeling of recovered organs.
All these above actions are done pursuant to LifeCenter standard operating procedures (SOPs), Centers for Medicare & Medicaid Services (CMS) regulations, United Network for Organ Sharing (UNOS) policy, and Association of Organ Procurement Organizations (AOPO) standards.
ESSENTIAL JOB FUNCTIONS
A. Response to ventilated referrals
- Outcome: All ventilated referral calls will receive a timely and appropriate response.
- Assessment: The ODC uses training, experience, and knowledge to evaluate suitability for organ donation. The ODC responds onsite to hospitals in a timely manner when deployed and collaborates with appropriate healthcare team members.
- Intervention: The ODC successfully completes all components in response to ventilated referrals as outlined in the SOPs and Work Instructions.
B. Organ donor suitability
- Outcome: The ODC independently completes a thorough chart review and onsite evaluation and communicates with the Resource Triage Coordinator (RTC) or Administrator on Call (AOC) to evaluate donor suitability.
- Assessment: The ODC uses training, experience, decision trees and knowledge in the identification of suitable organ donors with the guidance of the RTC or AOC.
- Intervention: The ODC successfully completes all components to identify organ donor suitability and documents the plan made with RTC or AOC.
C. Identification of Legal Next of Kin (LNOK)and determination of Family Readiness
- Outcome: The ODC Independently identifies the LNOK and completes the Family Readiness Assessment (FRA).
- Assessment: The ODC uses resources and training to assist in identification of LNOK, using the hierarchy of document as a resource, and completing the FRA.
- Intervention: The ODC successfully identifies the LNOK and proficiently completes the FRA daily on all assigned referrals.
D. Family Support and Interactions
- Outcome: The ODC will be proficient in the foundation of family support and associated documentation.
- Assessment: The ODC will use didactic and field training to support a family. This will include but not limited to memory making, supporting a family prior to OR, staying with family after the donor has left for the OR, and all expected documentation of interactions.
- Intervention: The ODC will be able to support a family when Family Support resources are unavailable and appropriately document interactions.
E. Clinical and regulatory requirements and documentation
- Outcome: All medical and legal requirements will be met prior to organ recovery.
- Assessment: The ODC demonstrates an understanding of the legal and hospital requirements for brain death declaration, verifies brain death has been declared with all requirements for organ donation and obtains Medical Examiner/Coroner release for donation.
- Interventions: The ODC successfully completes all components of clinical and regulatory requirements and documentation as outlined in the SOPs and Work Instructions (WIs).
F. Medical Examiner (ME)/Coroner Contact
- Outcome: ME/Coroner has been contacted for release for donation and proper documentation in LifeCenter's electronic medical record is complete
- Assessment: The ODC follows SOP’s and WIs to contact the ME/Coroner about release for donation and effectively communicates in ITX the outcome of conversation. The ODC updates the ORC/AOC appropriately.
- Intervention: The ODC successfully contacts and provides all medically relevant information to the ME/Coroner on all cases for release for donation and documents properly in LifeCenter’s electronic medical record.
G. Blood and Ancillary Test Collection
- Outcome: Blood samples and ancillary tests during the organ donor case (e.g., HLA, Serology, ABO, COVID-19) are properly packaged, labeled, and shipped. All necessary notifications are made and documented.
- Assessment: The ODC follows relevant Standard Operation Procedures (SOPs) and Work Instructions (WIs) and collaborates with the ORC and healthcare providers in the collection of samples to be tested.
- Intervention: The ODC successfully labels, packages, and sends blood for HLA, Serology, ABO and other ancillary tests, if required, at the start of the case and additional blood samples prior to the organ recovery to be packaged with each organ, donation partners and/or the ME/coroner.
H. Organ Preservation and Packaging
- Outcome: Organs will be preserved for optimal transplantation outcomes.
- Assessment: The ODC ensures the preservation and packaging process meets all LifeCenter Northwest policies and procedures and relevant OPTN policy.
- Interventions: The ODC successfully completes all components of organ preservation and packaging per policy in compliance with all related industry requirements.
I. Donation After Circulatory Death (DCD) Case Support
- Outcome: The ODC assists the ORC on DCD donor cases.
- Assessment: The ODC assists with multiple aspects of DCD cases as appropriate based on ODC experience and staffing needs. The ODC follows all requirements per LCNW and UNOS policies.
- Interventions: The ODC assists with DCD cases with close collaboration and guidance from the ORC or AOC.
J. Interdepartmental Collaboration
- Outcome: Cohesion exists between departments to positively impact the donation community.
- Assessment: The ODC maintains the highest standards of professional conduct and interpersonal relationship development; promoting a positive and collaborative work environment. The ODC will assist HD with collaborative rounding units and clinical support on presentations/meetings with hospital partners.
- Interventions: The ODC successfully completes all components of interdepartmental collaboration by living by the LifeCenter values. The ODC is proactive in multidisciplinary efforts within their region.
K. Independent Study for Professional Development
- Outcome: The ODC acquires additional skillsets through self-study and identified course work.
- Assessment: Review of coursework and appropriate core competencies
- Interventions: The ODC works with their manager and training department to identify areas of growth and complete appropriate coursework. Areas of focus may include donor suitability, critical care management, organ allocation and organ recovery.
Supervision
- This position generally does not have any formal supervisory responsibilities; however, this position may work in a preceptor capacity. When designated as a preceptor this role serves as a coach and mentor for other positions in the department and assists managers with providing continuous performance feedback to employees the role is precepting.
Other Responsibilities
- This position requires regular, time-sensitive travel to and from case activity across the region. As such, the ability to independently and reliably commute between locations is essential to fulfilling the responsibilities of the role. Due to the nature of the work, which may involve urgent or unscheduled travel, personal driving capability is a critical operational need. Participates in, and may lead, employee committees and events.

PHYSICAL DEMANDS
Physical Activities/Requirements
- This position requires on-call responsibilities, and travel is essential to this position; the employee must be prepared to travel by automobile and aircraft within and outside the LifeCenter service area.
- This position requires the ability to effectively operate phones, computers, smart phones, office equipment, and surgical instrumentation.
- The individual must have the ability to communicate clearly using the English language to accurately convey information and be able to hear at normal speaking levels both in person and over the phone.
- Specific vision abilities required by this position include close vision, depth perception, and the ability to adjust focus.
- Must prepare daily, with all the necessary supplies, to perform and complete organ donor cases when on call.
- Work is normally performed in an office or hospital setting as well as other business environments. Generally, working conditions have exposure to bio-hazardous materials.
- This position requires hospital immunization, health screening, and background check requirements. Immunizations and tests will be provided by LifeCenter as required.
- The employee is required to move up to 50 pounds with or without assistance.
ANTICIPATED TIME COMMITMENT
This position requires on-call availability, night, weekend work, holidays, and may have to work extended shifts. Some duties are required to be completed outside of call schedule.
EDUCATION, EXPERIENCE & JOB REQUIREMENTS
- Skills typically gained in advance EMT, Paramedic, and Certified/Registered Respiratory Therapy or similar background/certifications and/or OPO experience.
- BLS required. ACLS preferred.
- Requires a valid driver’s license and access to an insured automobile or the ability to arrive and depart from work and work-related functions at expected times.

PAY RANGE
- ODC I: $75,918 - $110,112
- ODC II: $83,918 - $121,715
The pay range for this role is provided above. Where a candidate’s compensation falls within this range is based on several bona fide factors such as experience, tenure, and other specialized knowledge. LifeCenter Northwest is committed to providing its employees equitable and competitive compensation.
This position is eligible for additional compensation to the base pay rate, in the form of Extra Call Pay, Extra Call Worked, Overnight Differential, and Holiday Stipend Pay. Additionally, this position may be eligible for a preceptor bonus.
