GUEST SERVICES - ADMINISTRATION

We are looking for friendly, approachable, efficient, and enthusiastic individuals to join our Guest Services Team in Hakuba. You should have excellent customer service skills, a positive attitude, and a genuine passion for working with people.

Based at the SkiJapan.com office in Hakuba, you will play an important role in supporting our day-to-day Guest Services operations. Your responsibilities will include assisting at the Front Desk, answering phone calls and guest inquiries, responding to emails and guest feedback, ordering and conducting stocktakes of lift passes, preparing official documents, managing lost property, supporting our returning guest rewards program, monitoring outstanding balances, and maintaining accurate records of departmental receipts, inventory, and supplies.

POSITION

Guest Services - Admin

KEY RESPONSIBILITIES

Winter Season (December – April)

• Assist the Hotel Supervisor in managing seasonal staff.
• Prepare and manage staff rosters and schedules.
• Provide Front Desk coverage when required.
• Order and conduct stocktakes of lift passes.
• Prepare insurance documents and other official letters and supporting documents.
• Assist with the daily email workload.
• Answer and respond to incoming phone calls.
• Respond to guest feedback forms and report relevant feedback to department heads.
• Record and store lost property and arrange its return to guests.
• Monitor, report, and follow up on outstanding balances.
• Prepare gifts for returning guests.
• Monitor departmental inventory and supplies and arrange reordering when required.
• Assist with additional tasks and duties as required.
• Ensure all official documents are completed accurately and filed appropriately.

Green season (May – November)

• Assist with inventory management and stocktakes.
• Respond to inquiries from the Reservations Team regarding guests.
• Assist with marketing activities and initiatives.
• Order and manage hotel supplies.

• Assist with housekeeping and general maintenance of the hotel and accommodation facilities.

PREFERRED EXPERIENCE/ TRAINING

• Personal customer service experience (Face to Face)
• Travel/tourism experience
• Cash/Credit Card Processing/ Handling
• Office/Administration experience
• Reservations experience
• Previous Front Desk/Guest Services experience
• Bilingual English/Japanese is preferred but not essential

REQUIREMENTS:

• Strong English skills are a must
• Competent in using Microsoft Word, Excel and Outlook

VISA REQUIREMENTS:

• Must be a Japanese resident or have/be eligible for a work visa in Japan

SKI/SNOWBOARD ABILITY:

No previous ski/snowboard ability is required, however some experience is preferred.

REMUNERATION PACKAGE

• Approx. 275,000 – 300,000 depending on skills and experience

EMPLOYMENT DATES

Full-time Contract

WORKING HOURS:

5 days per week (8/8:30AM – 5/5:30PM)

Average of 40 hours per week during peak season.
