Engagement Overview
The client is engaging a hands-on GTM Program Manager on a six-month contract to architect and operationalize a project management system in Jira, together with project reporting dashboards in Atlassian, that drives full transparency and accountability into the client's product GTM plans and launch status. This is a build-and-enable engagement: by the end of the term, the client's GTM team will have a live, well-documented project management system, the dashboards to run it, and the training and SOPs to sustain it.
Objective
Stand up a single, reliable source of truth for GTM and product launch execution — so that anyone, from an individual contributor to an executive, can see plan status, milestones, risks, and project health in real time, and so that ownership and accountability are clear at every step.
Key Deliverables
The engagement is scoped around six concrete deliverables:
1. Jira Project Environment Architecture
- Architect. Design and build the Jira project environment for GTM and product launch work — project structure, issue types, fields, statuses, workflows, automation, and cross-project dependencies — sized to support multiple concurrent launches.
- Standardize. Establish naming conventions, hierarchy, and standards that keep the system consistent and scalable as it grows.
2. Atlassian Reporting Dashboards
- Build. Build Atlassian dashboards (Jira dashboards, gadgets, JQL filters, and Atlassian Analytics / Confluence where applicable) that surface key milestone views and project health at a glance.
- Tailor by audience. Deliver both executive-level roll-ups (portfolio status, launch readiness, risk) and team-level operational views (workload, blockers, upcoming milestones).
3. Project Management Guide / SOP
- Document. Author a clear project management guide and standard operating procedures that document how the system works, how to run a launch in it, and the conventions the team must follow.
- Make it usable. Make it practical and self-serve — covering intake, planning, status updates, reporting cadence, and roles/responsibilities.
4. GTM Team Enablement & Training
- Train. Train the GTM team on the new project management system through live sessions and supporting materials, so the team can operate it confidently and independently.
- Drive adoption. Drive adoption — not just awareness — and leave behind reference materials for ongoing onboarding.
5. Project Documentation
- Populate. Guide or directly complete the documentation of each active GTM and launch project within the new system, ensuring plans, milestones, owners, and status are accurately captured.
- Migrate in-flight work. Bring existing in-flight projects into the system so it reflects the real state of the portfolio from day one.
6. Ad Hoc Project Management
- Day-to-day project management. Manage key projects. Build new project plans / support project plan hygiene for select initiatives, flag project risk, schedule meetings, and communicate with stakeholders and team members to drive on-time project delivery.
Responsibilities
- Own delivery. Run the engagement as a project: scope, plan, sequence, and deliver the six workstreams above on time and to a defined quality bar.
- Engage stakeholders. Partner with Product Marketing, Product Management, Sales, Customer Success, and Enablement to understand how launches actually run and reflect that in the system design.
- Test and refine. Validate the system with real projects and iterate based on team feedback before handoff.
- Enable a clean handoff. Ensure a clean handoff — system, dashboards, SOPs, and trained owners — so the client can sustain it after the contract ends.
Qualifications
- Jira architecture. Demonstrated experience standing up or significantly re-architecting a Jira environment from the ground up, ideally for GTM, marketing, or product launch work.
- Jira expertise. Expert-level Jira configuration — projects, workflows, custom fields, JQL, automation; Atlassian administration experience strongly preferred.
- Dashboard development. Proven ability to build Atlassian dashboards and reporting that turn project data into clear, decision-ready milestone and health views.
- Program management. Strong program/project management background with a track record of delivering on fixed timelines.
- Documentation & enablement. Experience writing SOPs / playbooks and training teams to adopt new tools and processes.
- Communication. Clear communicator who can work across ICs and executives and bring structure to ambiguity.
- Contractor mindset. Comfortable operating as a contractor — self-directed, fast to ramp, and focused on leaving the team self-sufficient.
Nice to Have
- Atlassian depth. Confluence, Atlassian Analytics, Jira Product Discovery, or Jira Align experience.
- Domain. Background in B2B SaaS, data, or regulated / EHS-adjacent industries.
- Certifications. PMP, Agile / Scrum, or Atlassian certifications.
Definition of Success
At the end of six months, the client has a live Jira project management system and Atlassian dashboards in active use, a documented SOP, a trained GTM team operating the system independently, and every active GTM and launch project documented within it — delivering full transparency and accountability into GTM plans and launch status.
