Als Groups & Events Coordinator:in sind Sie für die folgenden Aufgaben verantwortlich:

• Administrative Unterstützung des Groups & Events Teams.
• Mitarbeit bei der Betreuung und Koordination von Gruppen- und Veranstaltungsbuchungen in allen Phasen, von der ersten Anfrage bis zur Nachbereitung der Veranstaltung.
• Erstellung von Angeboten, Verträgen, Function Sheets und weiteren relevanten Dokumenten präzise und fristgerecht.
• Pflege und Aktualisierung aller Daten im Veranstaltungsmanagementsystem.
• Koordination der Kommunikation zwischen internen Abteilungen, um einen reibungslosen operativen Ablauf sicherzustellen.
• Unterstützung bei Hausführungen, Besichtigungen und Kundenterminen.
• Überwachung von Fristen, Zahlungsplänen und besonderen Kundenwünschen.
• Sicherstellung eines erstklassigen Gästeservices sowie höchster Qualitäts- und Servicestandards an allen Berührungspunkten mit Gästen und Kunden.

Als Groups & Events Coordinator:in erwarten wir von Ihnen:

• Erste Berufserfahrung in einer vergleichbaren administrativen Position oder im Veranstaltungsmanagement, vorzugsweise in einem Luxushotel oder im gehobenen Hospitality-Umfeld.
• Ausgeprägte organisatorische Fähigkeiten sowie die Fähigkeit, mehrere Aufgaben und Prioritäten gleichzeitig zu koordinieren.
• Sehr gute Kommunikationsfähigkeiten in Deutsch und Englisch; weitere Fremdsprachen sind von Vorteil.
• Sicherer Umgang mit Microsoft Office sowie Veranstaltungs- und Hotelmanagementsystemen.
• Eine positive Ausstrahlung, Flexibilität und eine hohe Serviceorientierung mit Leidenschaft für exzellente Gästeerlebnisse.

About the job

Based at the Mandarin Oriental Palace, Luzern, within the Sales & Marketing departement, the Groups & Events Coordinator is responsible for providing administrative and organizational support to the department. This role plays a key part in ensuring the smooth execution of all group bookings and events. The Groups & Events Coordinator reports directly to the Director of Groups & Events.

As Group & Events Coordinator, you will be responsible for the following tasks:

• Provide administrative support to the Groups & Events team.
• Assist in managing all stages of group and event bookings, from initial enquiry to post-event follow-up.
• Prepare proposals, contracts, function sheets, and other documentation accurately and in a timely manner.
• Maintain updated records in the events management system
• Coordinate communication between internal departments to ensure operational readiness.
• Support site inspections and client visits as needed.
• Monitor deadlines, payment schedules, and special requests.
• Uphold the highest levels of guest service and attention to detail at every touchpoint.

As Group & Events Coordinator, we expect from you:

• Previous experience in a similar administrative or event coordination role within a luxury hotel or hospitality environment preferred.
• Excellent organizational skills and the ability to manage multiple priorities.
• Strong communication skills in German and English; additional languages are an asset.
• Proficient in Microsoft Office and event software systems.
• A positive attitude, flexibility, and a passion for delivering exceptional service.
