Job Description

The Group Rooms Coordinator responds to all room and hotel information inquiries promptly and professionally. The coordinator oversees all group bookings and related reservations. The coordinator is expected to attend all group resume and pre-con meetings to ensure that group reservations are managed and billing is set up appropriately.

Key Duties & Responsibilities:

  • Approach all encounters with guests and employees in a friendly, service-oriented manner.
  • Set up all group billing prior to group arrival date.
  • Answer incoming phone calls and delegate when necessary.
  • Assist with guest relations and guest recovery opportunities.
  • Maintain regular attendance in compliance with company standards, as required by scheduling which will vary according to the needs of the hotel.
  • Maintain high standards of personal appearance and grooming, which include wearing the proper uniform and nametag when working.
  • Comply at all times with company standards and regulations to encourage safe and efficient hotel operations.
  • Maintain a warm and friendly demeanor at all times.
  • Employees must, at all times, be attentive, friendly, helpful, and courteous to all guests, managers, and fellow employees.
  • Attend meetings and take minutes as directed.
  • Review all group booking information prior to accepting them from the Sales Managers
  • Set up “call-in” group to be ready for the reservation team (review rate, dates and rate plan)
  • Set up “rooming list” group to be ready
  • Responsible for all group billing set up
  • Responsible for rooming list input
  • Responsible for building group packages – if not currently existed in Maestro
  • Responsible for group reservation modification and cancellation
  • Responsible for setting up group block in Passkey
  • Responsible for recording monthly group pick-up
  • Input data into database and provide administrative support as assigned.
  • Manage existing files and create new ones as needed.
  • Perform other reasonable job duties as requested by managers.
  • Participate in reservation calls as needed and as requested by the department manager.

Education and Experience:

  • High School Graduate or General Education Degree (GED): Required
  • Associate's Degree (two year college or technical school): or Work Equivalent, preferred
  • Prior Front office or reservations experience preferred
  • Efficient in communications, organizational skills and able to multi-task
  • Prior knowledge of Maestro, Passkey and Delphi preferred
