YOUR ROLE

Within the Facilities Management Department, the Group Facilities Management Professional ensures the smooth coordination of administrative activities and acts as a key interface between service providers, suppliers, and internal stakeholders.

The Group Facilities Management Professional is responsible for the operational follow-up and quality control of outsourced service contracts, office supplies management, business card administration, and the accounting monitoring of supplier invoices and internal recharges.

Working closely with internal departments and external partners, the successful candidate contributes to maintaining high service quality standards, accurate financial follow-up, and efficient administrative processes.

WHAT ARE YOU GOING TO DO?

As part of the Facilities Management Department, the Group Facilities Management Professional is responsible for supporting daily administrative operations and ensuring the effective management of suppliers and related activities.

Main responsibilities include:

  • Perform quality control reviews of outsourced services through joint and random audits
  • Monitor daily intervention requests and service delivery follow-up
  • Conduct joint and random inspections to ensure compliance with service quality standards
  • Create and process purchase orders
  • Monitor goods receipts and supplier invoicing
  • Record supplier invoices and track budget consumption
  • Manage internal recharging activities
  • Maintain and continuously update the Lyreco mini-catalogue for Head Office and all French agencies
  • Validate purchase orders in CMona
  • Produce purchasing and consumption statistics
  • Manage orders for the Administration & General Services Department
  • Coordinate stamp orders and follow-up
  • Manage business card requests, including request follow-up, direct entry into the dedicated system, order placement, receipt of orders, and invoice follow-up

To support operational excellence, the Group Facilities Management Professional is also expected to contribute to process improvements, ensure compliance with internal procedures, and maintain a high level of service quality.

WHO ARE WE LOOKING FOR?

  • Previous experience in facilities management, administration, hospitality, hotel services or catering
  • Customer-oriented mindset and service-driven attitude
  • Good understanding of administrative and accounting processes
  • Good knowledge of Microsoft Office Suite (Excel, Word, Outlook)
  • Familiarity with CMona or a similar purchasing management tool is a plus
  • Strong attention to detail and commitment to quality
  • Analytical skills and problem-solving mindset
  • Strong prioritization and time management skills
  • Ability to work autonomously and take initiative
  • Professional level of French and English, both written and spoken
