Reporting to the Graphics Manager, the Graphics Coordinator is responsible for coordinating all graphics projects between the Graphics Department, customers, Customer Service, Sales, and the Printing Departments across both Polytainers manufacturing facilities. This role ensures artwork projects progress efficiently from initiation through completion while maintaining accurate documentation, effective communication, and adherence to established timelines.
The Graphics Coordinator also plays a key role in supporting the Company's Food Safety and Quality Management System by following all applicable food safety, quality, and regulatory procedures to ensure customer and compliance requirements are consistently met or exceeded.
POSITION RESPONSIBILITES:

Project Coordination
• Coordinate graphics projects from initiation through completion, ensuring all stakeholders are informed of project status and deadlines.
• Generate document numbers for artwork using the SAP Manage Document application.
• Research product and artwork history using SAP, FileMaker Pro, and Esko.
• Create graphics job dockets in FileMaker Pro using information provided by Customer Service, Master Data, and customers.
• Create and manage project tickets within the planning system, ensuring projects are accurately tracked and updated throughout each stage.
• Maintain and update project information within the docket database and Esko Digital Docket throughout the project lifecycle.
• Coordinate communication between Graphics, Customer Service, Sales, and Printing departments across both manufacturing plants.
• Communicate directly with customers, design agencies, and external prepress suppliers regarding artwork approvals, timelines, and project requirements.
• Provide regular project status updates to the Graphics team and other internal stakeholders.
Artwork & Production Support
• Proofread artwork and PDF proofs before customer release to ensure accuracy and completeness.
• Produce information sheets and plate box labels for each project and upload required documentation to the production server.
• Review digital plate files to verify all artwork and production information is complete and accurate before release to the Printing Department.
• Update and replace information sheets, plate box labels, and server files whenever colour changes occur during production.
• Perform final SQF documentation and quality checks before project completion.
Documentation & Administration
• Maintain accurate project documentation and billing information within the docket database.
• Send estimates to customer to obtain PO and prepare billing documentation for submission to Finance upon project completion.
• Complete and record the weekly discontinued items report
• Maintain organized filing systems for graphics documentation.
• Coordinate shipping and receiving of ink drawdowns, target proofs, and other graphics materials.
• Monitor and distribute departmental mail as required.
• Perform other administrative and departmental duties as assigned
• Follow all Food Safety, SQF, GMP, and Quality Management System procedures.
• Ensure graphics documentation complies with SQF standards.
• Participate in continuous improvement initiatives that support efficiency in departmental workflow.

SKILLS/EXPERIENCE REQUIRED:

Education
• High School Diploma or equivalent required.
• Post-secondary education in Graphic Communications, Printing Technology, Business Administration, Project Management, or a related field is considered an asset.
Experience
• Previous experience in graphics coordination, printing, packaging, project coordination within a manufacturing environment is preferred.
• Experience in the packaging or label printing industry is considered an asset.
Technical Skills
• Strong computer and database management skills.
• Experience with FileMaker Pro, SAP, Esko, or similar graphics workflow systems is an asset.
Communication Skills
• Excellent verbal and written communication skills.
• Strong interpersonal skills with the ability to build effective working relationships with customers, suppliers, and internal teams.
