The primary purpose of this role is to support the research activities of the Renal-Electrolyte & Hypertension Division within the Department of Medicine. Under limited supervision, this position will manage sponsored program funds from Pre-Award through post-award while working closely with Principal Investigators on
proposal development, budget development, and related Pre-Award requirements and submissions for a diverse
sponsor portfolio. The individual will also manage post-award processes, including monitoring and reviewing
all charges, reconciling accounts, and preparing monthly financial reports for Principal Investigators. The Grants Manager consults with research faculty in the preparation of sponsored budgets and proposals; reviews proposals for compliance with sponsor and University policies; and ensures that Regulatory Affairs requirements are satisfied, and Conflict of Interest statements are submitted when required.
The Grants Manager provides full accounting and financial management services, including budget reconciliation, payroll processing and monitoring, effort reporting, and financial reporting. The position monitors grant expenditures to ensure compliance with sponsor regulations and guidelines and will monitor and
enforce compliance with sponsor requirements and OMB Uniform Guidance. Grants Manager B: The Grants Manager B will work more independently and actively participate in specific projects, including the annual
budget submission. Grants Manager B will manage more complex grants, including clinical research grants and program projects involving multiple subcontracts. Grants Manager B will have greater grants management
experience than Grants Manager A, allowing the individual to make broader contributions to the Division, including performing and contributing to financial analysis. The Grants Manager will report to the Research Administrator within the Renal-Electrolyte & Hypertension Division.
Grants Manager A: The Grants Manager will manage pre- and post-award activities for a diverse sponsor portfolio within the Renal-Electrolyte & Hypertension Division. The Grants Manager will manage post-award activities, including account setup and closeout, and monitor/review all sponsored project expenditures,
including fund projections. The Grants Manager will monitor and enforce compliance with sponsor guidelines and OMB Uniform Guidance; meet with Principal Investigators to discuss and advise them on financial issues related to their
portfolios; maintain salary grids and assist with payroll allocations to ensure faculty and staff are paid correctly; and assist in the preparation of effort reports.
The Grants Manager will be responsible for multiple monthly Pre-Award proposal submissions for various Principal Investigators. Tasks include managing proposal development, meeting with Principal Investigators to discuss and manage budget development and coordinating related Pre-Award activities for a diverse sponsor portfolio. The Grants Manager will also participate in specific projects, including the annual budget submission and the development and implementation of standard operating procedures throughout the Department of Medicine.
The Grants Manager will manage proposal development, budget development, and related Pre-Award activities for a diverse sponsor portfolio. The position will handle Pre-Award activities for patient-oriented clinical trials, both federal and non-federal, including completion of the Prospective Reimbursement Analysis (PRA) with Clinical Research Coordinators (CRCs) and Principal Investigators; Research Billing Number (RBN) setup; advance account paperwork, if required; invoicing startup; tracking initial payments; and other related activities.
The Grants Manager will also establish study-specific patient tracking logs for Coordinators to record completed study visits and for Grants Managers to track study payments and patient costs.
Grants Manager B: Grants Manager B will work more independently and actively participate in specific projects, including the annual budget submission. The Grants Manager B will work on more complex grants, including training grants and program projects involving multiple subcontracts.
The Grants Manager B candidate is expected to have greater grants management experience than the Grants Manager A candidate, allowing the individual to make broader contributions to the Division, including engaging in financial analysis and managing more complex sponsored research portfolios.
This position reports directly to the Associate Director of Administration and Finance of the Renal-Electrolyte & Hypertension Division. Both levels report to the senior administrator within the Department and have a dotted-line reporting relationship to the Perelman School of Medicine Office of Research Support Services
(ORSS).
Bachelor’s degree and 3 years to 5 years of experience or an equivalent combination of education and experience required. Experience with NIH and other federal granting agencies is required. Proficiency with Microsoft Excel, Adobe, and Business Objects. Excellent critical thinking, analytical, verbal and written
communication is required. Working knowledge of Uniform Guidance is required. Ability to apply solid organizational and time management skills to a deadline drive, multiple priority work environment is required.
Familiarity with UPENN sponsored research policies and related financial system is preferred.
Bachelor's Degree and 5 to 7 years of grant and contract administration experience or an equivalent combination of education and experience required. Master’s degree preferred.
The candidate will possess strong organizational, data management and documentation skills, is attentive to detail and strives for accurate results, has the ability to work both independently and cooperatively, and demonstrates excellent interpersonal skills. Successful candidate must be highly motivated, attentive to details, ability to work in a team setting, multi-task with a strong work ethic. Ability to work under pressure of deadlines, be flexible and contribute positively to a dynamic business environment. Prefer a candidate with awareness of grant submission coordination either with pre award or post award within a research setting; Skills required are strong computer skills, with working knowledge of computer software such as Excel or Access, familiar with Ben Financial, and Business Objects or similar financial software preferred.
