Job Description

The Grants Management Analyst – Post-Award reports to and works in conjunction with the Lead Grants Management Analyst and AVP Clinical Research Grants to coordinate post-award administration and oversight of sponsored research activity. As part of the Research Intelligence Office of Sponsored Research (OSR), this role provides high-level service to investigators and departmental administrators in managing externally funded awards and ensuring compliance with sponsor and institutional requirements. The position collaborates with investigators, administrators, sponsors, and internal stakeholders across Northwell to support effective stewardship of sponsored clinical research awards, timely reporting, and completion of post-award actions. Success in this role requires the ability to interpret complex award terms, manage competing priorities, and adapt to evolving sponsor and institutional policies while contributing to improvements in post-award processes and operations.

Job Responsibility

  1. Post-Award Administration and Award Management

  • Provide administrative guidance and oversight to investigators and departmental administrators in the management of sponsored clinical research awards, ensuring compliance with federal regulations, sponsor policies, and Northwell procedures.

  • Review Notices of Award and initiate award setup, identifying budget structures, reporting requirements, and administrative obligations.

  • Coordinate administrative award management actions that require sponsor approval or are permitted under expanded authorities, including:

  • No-cost extensions (grantee or sponsor approved)

  • Budget revisions and reallocations

  • Carryforward requests

  • Changes in scope

  • Award transfers and relinquishments.

  • Review and process non-competing continuations and other award actions, including analysis of unobligated balances and sponsor approval requirements.

  • Monitor project timelines and deliverables, including progress reports, technical reports, and other sponsor reporting obligations.

  1. Compliance, Policy Interpretation & Sponsor Coordination

  • Serve as liaison between investigators, departments, and external sponsors on non-financial award management issues.

  • Ensure that investigators have obtained required certifications and assurances, including human subjects, animal use, biosafety, and conflict of interest disclosures.

  • Interpret sponsor guidelines, award terms, and federal regulations and advise investigators and administrators on compliance requirements.

  • Ensure institutional concurrence and compliance with federal regulations and sponsor requirements.

  • Serve as Authorized Organizational Representative (AOR) when accepting awards or submitting required administrative documents on behalf of the institution when appropriate.

  1. Investigator Support & Institutional Coordination

  • Provide guidance and training to investigators and departmental administrators on post-award requirements, reporting obligations, and administrative actions.

  • Participate in project “kick-off,” compliance review, and close-out activities to ensure investigators understand award terms, responsibilities, and timelines.

  • Serve as primary institutional contact for investigators and sponsors regarding administrative aspects of award management.

  • Coordinate with internal stakeholders, including finance, compliance offices, and research administration staff, to support effective award management.

  1. Operational Support & Process Improvement

  • Contribute to the improvement of workflow, business processes, and policies related to post-award administration within the Office of Sponsored Research.

  • Maintain familiarity with electronic research administration systems used for sponsored project management.

  • Share responsibility and provide input to OSR committees regarding website content and communication strategies, including OSR bulletins and post-award guidance for the research community.

  • Assist with data collection, reporting, and institutional metrics related to sponsored research activity.

  • Provide coverage and back-up administrative support to other members of the team as needed to ensure continuity of post-award operations.

  1. Training, Professional Development & Institutional Engagement

  • Assist in training new post-award staff and contribute to the development or presentation of training materials for OSR staff and the Northwell research community related to post-award administration.

  • Serve as a member of the team supporting training and adoption of the Huron Awards module and other systems supporting award management.

  • Attend workshops, professional development programs, and conferences to maintain and enhance post-award grant administration expertise and stay current with evolving sponsor financial and compliance requirements.

  1. Other Duties

  • Perform other duties as assigned.

Job Qualification

  • Bachelor's Degree required, or equivalent combination of education and related experience.
  • 1-3 years of relevant experience, required.

HIGHLY PREFERRED

  • Experience using electronic pre- and post-award systems such as Grants.gov, NIH ASSIST, Research.gov, Grants Solutions, Huron, InfoEd, Cayuse.

  • Experience developing, reviewing, or analyzing grant budgets.

  • Experience interpreting and applying policies from multiple levels of authority (federal, state, and institutional).

  • Customer service experience supporting faculty or investigators.

  • Experience with pre- and/or post-award research administration in a government, non-profit, healthcare and/or academic setting.

  • Completed SRA and/or NCURA professional development workshops/classes.
