The Grant Financial Administrator will oversee all financial and administrative operations related to awarded programs within the THNY healthcare system. Reporting to the Director of Grants and supported by the Regional VP, Financial Operations - Acute, this position ensures that all funds are allocated, spent, and reported in strict compliance with funder guidelines, organizational policies, applicable federal and state grant guidelines, and legal regulations.

Key Responsibilities

Pre-Award & Budget Development

  • Assist program staff in developing project budgets, budget narratives, and proposals for grant applications.
  • Ensure all proposed budgets align with the organization's financial policies and the prospective funder’s requirements.
  • Review application documentation for accuracy and completeness before submission.

Post-Award Financial Management

  • Set up new grant and contract accounts within the organization’s financial system.
  • Track and monitor grant budgets, expenditures, and revenues on an ongoing basis utilizing financial reporting system.
  • Prepare and analyze monthly/quarterly financial reports and projections to prevent budget variances.
  • Review and approve grant-related invoices, payroll allocations, and payment requests.

Compliance & Reporting

  • Ensure all awarded grants and contracts adhere to legal, statutory, and donor requirements (including compliance with uniform guidance for federal and state grant awards).
  • Monitor grant award conditions include preparing and submitting contract amendments, budget modifications, and reporting obligations.
  • Liaise with THNY accounting & financial reporting team for completion of the Single Audit reporting requirements.
  • Coordinate with auditors and provide supporting financial data during internal and external audits.
  • Prepare and submit accurate financial reports, drawdowns, and final closeout documents to funding agencies in a timely manner.
  • Monitor reimbursement timelines and outstanding receivables from funding agencies; collaborate with finance departments to resolve discrepancies or delays in payments.

Administration & Database Management

  • Maintain an up-to-date grants database tracking deadlines, reporting requirements, and deliverables.
  • Serve as the primary point of contact for financial and administrative inquiries from grantors and internal stakeholders.
  • Provide technical assistance and guidance to staff regarding grants management software and financial processes.
  • Is accountable to the Program Director and Grant leadership team.

Qualifications & Skills

  • Education: Bachelor’s degree in Accounting, Finance, Business Administration, or a closely related field.
  • Experience: 5+ years of progressive experience in grant administration, fund accounting, or non-profit/research finance.
  • Knowledge: Demonstrated understanding of fund accounting principles, grant lifecycle management, and federal/state/foundation regulations, including Federal uniform guidance (2 CFR Part 200) and the New York State Financial system (or similar state regulatory agencies)
  • Tech Skills: Proficiency in financial management software, grants management systems and strong MS Excel skills.
  • Soft Skills: Exceptional attention to detail, strong analytical and problem-solving abilities, and the capacity to meet strict, non-negotiable deadlines. Ability to work independently.

Pay Range: $33.10-$49.65hr

Pay is based on experience, skills, and education. Exempt positions under the Fair Labor Standards Act (FLSA) will be paid within the base salary equivalent of the stated hourly rates. The pay range may also vary within the stated range based on location.
