Our office serves in a collaborative and supportive capacity with all academic and administrative departments in furthering the mission of the Division of Enrollment Management and Towson University.

Reporting to the Assistant Director of Graduation, the Graduation Specialist will provide support and customer service to all students, faculty, and staff interacting with the Graduation Office. As a key member of the Graduation Office team, this position will support all aspects of the graduation clearance, degree conferral process and assist with the processes of graduating both graduate and undergraduate students—a population of approximately 5500 students per year.

Responsibilities and Duties

  • Maintain a high level of customer service in all interactions with stakeholders through the graduation process.
  • Review and make judgements on complex issues for students and academic departments as related to Academic Requirements. Counsel undergraduate students on their progress toward the degree. Work with students, faculty, and staff individually to resolve issues preventing degree completion.
  • Work in conjunction with other Graduation Specialist in managing the Graduation Office phone line and email inbox. Respond to or redirect all correspondence in a timely manner.
  • Utilize the existing technology to assist with the application, communication, clearance, and deficiency processes in PeopleSoft including but not limited to queries, batch transcripts, and the academic requirements report.
  • Share in the review of the deficiency report to clear and deny students for graduation at multiple points within a term. Adjust the student record in PeopleSoft via a variety of different screens, as needed, including processing course exceptions. Utilize Peoplesoft queries to generate mass emails to specific groups of students pertaining to graduation.
  • Collaborate with other Graduation Office staff in the diploma ordering process including diploma replacement orders submitted through Parchment Storefront and large end-of-term orders. Co-coordinate the preparation of notarized documents with other Registrar’s Office staff. Co-manage the diploma hold process to ensure students who have cleared their financial hold can receive their diploma.
  • Collaborate with academic chairs and advisors to facilitate the graduation clearance process. Provide support, advice, and information to the academic departments as requested.
  • Assist with the posting of student degrees, Latin and departmental honors, education certification statements, and Honors College notations on student records. Facilitate the distribution of timely correspondence to students during critical times in the semester, using mail merge. Image, retrieve and archive documents using Perceptive Content and the mail merge printer.
  • Maintain communication with Commencement Office on updates with the graduation process. Be well informed with ceremony-day events to handle student and parent commencement-related questions.
  • Serve as representative of the Registrar’s Office as a lead of commencement volunteers for ceremony day events (1-2 ceremonies per semester). Serve as backup to Assistant Director for transmission of student data to the commencement registration website.
  • Handle special projects as assigned by the Associate Registrar and Assistant Director. Assist with proofing the commencement program. Make independent decisions and judgements in the Assistant Director's absence. Make recommendations to the Assistant Director and Associate Registrar on graduation process improvement

Telework may be available for this position up to two days per week following the completion of 90 days of service in good standing.

Qualifications and Skills

Required Qualifications:

  • Bachelor’s degree

  • Two years of experience in administrative staff work

Elementary knowledge of reference and research methods and techniques used in collecting, compiling, and organizing data and information; of basic methods and techniques used in organizing and conducting studies and analyses or programs, procedures, and organizations; of basic analytical and statistical principles and techniques. Skill in the use of office automation software and its application; in operating manual and automated office equipment. Ability to establish and maintain effective working relationships; to present ideas and information clearly and concisely both orally and in writing; to perform mathematical computations; to present statistical material in chart and graph form.

Except for qualifications established by law, additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.

Preferred Qualifications:

  • Experience working in higher education institutions

  • Proficiency in PeopleSoft, Perceptive Content, Parchment, Salesforce and Tassel
