Job Description:

The Rob Walton College of Global Futures and Rob Walton School of Conservation Futures seeks a graduate student support coordinator to plan, organize, and coordinate essential student support activities and functions for the school’s new graduate programs which are slated to launch in Spring 2027. This position will have a specialized role advising and supporting graduate student success in the Rob Walton School of Conservation Futures through close collaboration with faculty, staff, and leadership, as well as participation in strategic initiatives, projects, and activities unique to the school, but will also be trained to provide backup support to other graduate programs in the college as needed. This position is located at the Tempe campus and will work with both campus and digital immersion (online) students. There is an opportunity for a hybrid schedule with some remote work, but the advisor will need to be in the office the majority of the work week.

Essential Duties:

• Advises Students: Meets with newly admitted and active students to advise them on degree requirements, coursework that will meet degree requirements, steps, milestones, and paperwork required to meet degree requirements, and provides referrals to faculty and support resources as needed. Meetings and communication include face-to-face, phone, Zoom, and email.
• Supports Student Registration: Responds to student inquiries, processes course overrides, petitions, and various registration-related paperwork.
• Processes Plan of Study (iPOS) Approvals: Works with students and faculty to create, review, and approve students’ plans of study.
• Culminating Experience Guidance & Paperwork: Assists students and faculty with critical milestones and paperwork required.
• Maintains Records: Maintains organized and accurate graduate program and graduate student files and records.
• Policies & Procedures: Interprets and explains university and school policies and procedures to students, faculty, and staff.
• Graduate Committee Support: Provides assistance as needed to the school’s graduate committee.
• Student Communications: Assists with dissemination of various types of student communications (e.g, program information, opportunities, and important reminders).
• Graduate Funding: Coordinates some aspects of graduate funding (e.g., tracking funding, supporting the assignment of school assistantships, and helping the school to nominate and award students for key fellowships).
• Supports Satisfactory Academic Progress Processes: Coordinates tracking, communication, and paperwork related to academic probation and dismissal.
• Generates and Maintains Reports: To track enrollment and student progress, creates and maintains reports and spreadsheets as needed.
• Student Engagement and Events: Helps to organize graduate student events throughout the year (e.g., orientation, mixers, information sessions).
• Presentations: Creates, updates, and delivers presentations to small and large groups. Holds workshops to promote graduate student understanding and success for various milestones (e.g., iPOS, cohort meetings, key milestones, and graduation).
• Program Materials: Provides catalog updates. Creates and maintains handbooks, ASU Online fact sheet, and web content for graduate programs.
• Grades: Works with course scheduler and faculty to ensure grades are posted correctly for iPOS and graduation purposes.
• Admissions: Support admission processes as backup and as needed.
• Cultivates strong working relationships with Rob Walton School of Conservation Futures faculty and staff and contributes to school-specific initiatives, projects, and operational activities that advance student success and academic program goals.

• Attends and participates in staff meetings, meetings with graduate student representatives, and as member of various college and university committees.
• Collaborates with other colleges and central university offices to ensure a coordinated approach to student success and retention activities, including Graduate College and EdPlus.
• Represents programs at various community and student functions.
• Other duties as assigned.

• Experience in establishing and maintaining effective working relationships with colleagues, faculty, and students.
• Evidence of effective communication skills.
• Experience composing, editing and proofreading materials.
• Experience in working with students in research-oriented, capstone-oriented, campus immersion, and digital immersion degree programs.
• Experience engaging with students through all stages of the application through matriculation and on-boarding.
• Experience with ASU technological resources such as Salesforce, Peoplesoft, and AppXtender.
• Experience with Microsoft Office applications and Google Suite tools.
• Experience with being able to quickly change priorities which may include and/or are subject to resolution of conflicts.

Working Environment:

• Work location: The school’s home campus is the Tempe campus but currently has students at the Tempe Online campuses. There is an opportunity for a hybrid schedule with some remote work, but the coordinator will need to be in the office the majority of the work week.
• Some events may require attendance outside of regular work hours.
• Activities are performed in a climate-controlled office setting subject to extended periods of being in a stationary position.
• Required to move moderate distances to perform work.
• Frequently moves up to 25 pounds for various needs.
• Regular use of standard office equipment, including, but not limited to computer workstation/laptop (keyboard, monitor, mouse), printer, fax, calculator, copier, telephone, and associated computer/technology peripherals.
