This position will serve in a key role facilitating a positive academic experience for graduate students by assisting graduate student admissions and recruitment activities, student success activities, and performing general administrative tasks. Qualifications

Required Education and Experience

  • Bachelor's degree or equivalent combination of education and experience.

  • At least one year of experience in higher education or a related field.

Preferred Qualifications

  • Master’s degree in higher education, student affairs, or a related field.

  • Two or more years of experience in graduate program coordination, student services, or higher education administration.

  • Experience with graduate admissions processes and application systems (e.g., CAS).

  • Experience supporting student success, retention, or engagement initiatives.

  • Knowledge of university policies, procedures, and academic program operations.

  • Experience working with student information systems (e.g., ARCS, AIS, COMPASS, Navigate).

  • Experience coordinating events, orientations, or student programming.

  • Ability to analyze student data and generate reports to support program improvement.

  • Experience collaborating with faculty and academic departments.

Knowledge, Skills, and Abilities

  • Organizational, analytical, and record-keeping skills.

  • Effective communication and interpersonal skills.

  • Ability to oversee and coordinate events or activities for graduate students.

  • Knowledge of graduate admissions and program operations.

  • Knowledge of academic advising principles and student support.

  • Ability to evaluate and improve program practices.

  • Ability to multitask and work cooperatively with others.

Essential Duties/Tasks

Graduate Student Program Coordination & Support

  • Advise graduate students on degree requirements, course selection, and academic progress.

  • Collaborate with students to establish academic goals and support timely completion.

  • Provide guidance on registration, enrollment processes, and academic policies.

  • Communicate deadlines, milestones, and program expectations.

  • Maintain documentation of student advising interactions and progress.

Program Administration & Records Management

  • Maintain accurate student records, degree plans, and advising materials.

  • Track applications, admissions decisions, faculty advisor assignments, and degree audits.

  • Coordinate registration processes and graduation verification.

  • Ensure compliance with university policies and data integrity standards.

Graduate Admissions & Onboarding Support

  • Assist prospective and admitted students with application systems (e.g., CAS), including document submission and inquiries.

  • Support admissions workflows and onboarding processes.

  • Contribute to new student orientation planning and delivery.

Student Engagement, Retention & Outreach

  • Monitor student progress and conduct proactive outreach to support persistence.

  • Develop and participate in orientations, workshops, and student success initiatives.

  • Connect students with campus resources (career services, counseling, academic support).

  • Support advising-related events and programming.

Faculty & Unit Collaboration

  • Serve as a liaison between students, faculty, and the Graduate and Professional School.

  • Provide guidance to faculty on university policies and academic processes.

  • Partner with faculty to monitor student progress and address concerns.

  • Participate in departmental meetings, committees, and continuous improvement efforts.

Advising Resources & Program Support

  • Maintain advising materials, communications, and program resources.

  • Assist with special projects, reporting, and program coordination as needed.
