Graduate Medical Education (GME) Coordinator

As a Graduate Medical Education (GME) Coordinator, you'll play an essential role in supporting our residency and fellowship programs, ensuring physicians-in-training have the resources, guidance, and operational support they need to succeed.

RESPONSIBILITIES: Working closely with Program Directors, faculty, residents, fellows, and the Graduate Medical Education leadership team, you'll help manage the day-to-day operations of an ACGME-accredited training program while ensuring compliance with accreditation standards and delivering an outstanding educational experience.

As the administrative backbone of a Graduate Medical Education program, you will:

  • Coordinate the daily operations of an ACGME-accredited residency or fellowship program while ensuring compliance with accreditation requirements and institutional policies.
  • Serve as the primary liaison between residents, fellows, faculty, Program Directors, GME leadership, and hospital departments.
  • Support physician recruitment by managing applications through ERAS, coordinating interview days, assisting with candidate selection, and preparing NRMP rank lists.
  • Maintain trainee schedules, duty hours, conference calendars, and curriculum within New Innovations, ensuring accuracy and compliance.
  • Oversee evaluation processes, monitor completion rates, generate compliance reports, and support semi-annual and annual program reviews.
  • Track and maintain resident, fellow, and faculty scholarly activity and research accomplishments.
  • Assist with ACGME accreditation activities, including WebADS updates, annual reporting, site visit preparation, Program Information Forms (PIFs), and specialty board documentation.
  • Coordinate medical student and visiting learner rotations, including scheduling and evaluation management.
  • Manage resident and fellow leave tracking, vacation records, and documentation while ensuring compliance with institutional policies.
  • Process reimbursements and educational expenses while supporting program budget activities.
  • Continuously stay current on ACGME program requirements, accreditation updates, and best practices in graduate medical education.

  • 759 Chestnut St.
  • Springfield, MA

SCHEDULE:

  • Full-time, 40 hours a week
  • Monday through Friday – No weekends, No holidays
  • 8:00am-4:30pm

QUALIFICATIONS

  • 3–5 years of Graduate Medical Education experience or demonstrated experience supporting academic medical education within a teaching hospital environment, required
  • Experience coordinating complex administrative processes requiring attention to detail and regulatory compliance, required
  • Advanced Microsoft Office skills, required
  • Experience working with ACGME-accredited residency or fellowship programs.
  • Familiarity with ERAS, New Innovations, WebADS, NRMP, and other graduate medical education systems.
  • Knowledge of ACGME Common and Program-Specific Requirements.

Note: The compensation range(s) in the table below represent the base salaries for all positions at a given grade across the health system. Typically, a new hire can expect a starting salary somewhere in the lower part of the range. Actual salaries may vary by position and will be determined based on the candidate's relevant experience. No employee will be paid below the minimum of the range. Pay ranges are listed as hourly for non-exempt employees and based on assumed full time commitment for exempt employees.
