quality assurance, and continuous improvement across the organisation. This role
will contribute to ensuring key business documents are accurate, consistent,
compliant, and fit for purpose.

The Role

The Documentation Quality Officer is responsible for ensuring organisational documentation meets approved standards, governance requirements, and regulatory obligations

The role manages documentation quality standards, conducts quality reviews, supports document governance processes, and promotes continuous improvement in documentation practices across the organisation

The position works closely with business areas, subject matter experts, project teams, and stakeholders to ensure policies, procedures, work instructions, forms, templates, and operational documents are accurate, accessible, and aligned with organisational expectations.

Key responsibilities

Documentation Quality Assurance:

Review organisational documentation for accuracy, consistency, readability, and compliance with
approved standards

Ensure documents adhere to document control requirements, templates, style guides, and governance frameworks.

Conduct quality assurance assessments of policies, procedures, business processes, and operational documentation.

Support document lifecycle management, including creation, review, approval, publication, and archival.

Document Governance and Compliance

Maintain documentation governance frameworks and quality standards.

Monitor compliance with document management policies and procedures.

Support internal and external audit activities relating to documentation and records management.

Continuous Improvement

Identify opportunities to improve document quality, usability, and accessibility.

Analyse documentation review findings and recommend corrective actions.

Support process improvement initiatives to enhance document management practices.

Stakeholder Engagement

Provide advice and guidance on documentation standards and best practices.

Support staff in understanding documentation and quality requirements.

Reporting and Monitoring

Prepare documentation quality reports, dashboards, and performance metrics.

Track document review schedules and compliance activities.

Report documentation risks, issues, and improvement opportunities to management.

About You

  • Experience in document control, quality assurance, governance, records management, technical
    writing, or a related discipline.
  • Strong attention to detail and the ability to identify errors, inconsistencies, and compliance issues.
  • Experience reviewing and editing business documentation.
  • Strong written communication and document editing skills.
  • Ability to interpret policies, procedures, standards, and regulatory requirements.
  • Strong organisational and stakeholder engagement skills.
  • Experience using document management systems and Microsoft Office applications.

Qualifications

  • Certificate IV, Diploma, or tertiary qualification in Business, Quality Management,
    Information Management, Records
  • Management, Communications, or a related discipline; or equivalent experience
