About the role
The Governance Lifecycle Management Specialist is responsible for the end‑to‑end lifecycle governance of all IT, OT and IoT Written Standards hosted in the ITMS (Veeva) platform. The role ensures standards are accurately maintained, up‑to‑date, accessible, and governed in alignment with Haleon’s compliance requirements, technology risk strategy, and operational governance expectations.
This position supports the Standards & Control Framework Development Lead by operating the workflows associated with document lifecycle management, ensuring correct metadata, ownership, review cycles, version control, and automated governance triggers. The Specialist also coordinates with SMEs across technology, security, quality, and risk teams to maintain compliance and alignment.
A key responsibility is ensuring that updates to standards and control require
ments are effectively cascaded to impacted stakeholders by partnering with Training, Communications, and Awareness teams. This includes preparing communication packs, coordinating training assignments, supporting compliance attestation processes, and ensuring global adoption tracking.
The role underpins organisational compliance by ensuring that Written Standards remain current, traceable, controlled, and well‑communicated.
Role Responsibilities
Maintain the full lifecycle of IT, OT and IoT Written Standards in Veeva (ITMS), including creation, updates, ownership assignment, approval workflows, archival, and retirement.
Ensure Written Standards and associated metadata (e.g., scope, category, regulatory drivers, control linkages, ownership, review cycles) are accurate, complete, and aligned with Haleon’s governance conventions.
Coordinate governance activities with standards owners and SMEs to ensure timely execution of reviews, renewals, updates, stakeholder approvals, and compliance with mandatory governance timelines.
Partner with Training & Communications teams to cascade updates—developing communication materials, ensuring training assignments are configured, monitoring completion, and ensuring new/updated standards are understood across impacted teams.
Support traceability between Written Standards and the D&T Control Framework by ensuring correct mapping, version alignment, and updates reflected in GRC tooling and supporting documentation.
Support simplification and optimisation initiatives by identifying outdated, duplicative, or unclear standards, and coordinating updates or rationalisation with the Standards & Control Framework Development Lead.
Business Expertise
Solid foundational knowledge of digital and technology standards governance, policy management, and document lifecycle processes.
Understanding of regulatory, cybersecurity, privacy, SOx, GxP, and OT/IoT governance requirements to ensure standards reflect accurate compliance expectations.
Familiarity with OT and IoT operational environments (manufacturing, utilities, connected devices) and their implications on governance, safety, and lifecycle constraints.
Experience with GRC tools, document management systems, and metadata governance frameworks.
Strong awareness of ITMS/Veeva or similar platforms used for policy/standards administration.
Ability to translate regulatory or risk-driven updates into structured documentation and ensure consistent alignment across standards, controls, and training materials.
Problem Solving
Ensures governance issues are escalated and resolved, particularly around overdue reviews, unclear ownership, or conflicting requirements.
Identifies points of misalignment across standards, controls, and training materials and supports remediation.
Reconciles varying stakeholder needs, balancing regulatory accuracy with usability and clarity for operational teams.
Supports governance efficiency by identifying opportunities for streamlined workflows, simplified approval processes, and improved lifecycle controls.
Assists in implementing corrective actions when compliance gaps are discovered in standards maintenance.
Nature & Area of Impact
Impacts global governance of IT, OT and IoT Written Standards, directly affecting compliance with internal policy, regulatory mandates, and audit expectations.
Improves consistency and adoption of standards across Digital & Technology, manufacturing, supply chain, engineering, and IoT/connected environments.
Ensures that the broader organisation receives clear, timely, and accurate communication of compliance requirements, reducing operational and regulatory risks.
Supports audit readiness by ensuring standards are current, governed, and traceable.
Interactions / Interpersonal Skills
Works closely with Standards & Control Framework Development Lead for prioritisation, approvals, and governance direction.
Regularly interacts with Veeva administrators, ITMS platform owners, SMEs, control owners, quality, cybersecurity, and risk teams.
Collaborates with Training & Communications teams to produce and distribute content and to orchestrate cascades of new/updated standards.
Requires strong communication, organisation, and documentation skills, with an ability to engage both technical and non‑technical audiences.
Must drive governance adherence across global stakeholders with tact, clarity, and influence, ensuring timely completion of lifecycle activities.
