What you'll be doing:

The Governance Coordinator ensures effective project monitoring, reporting, and governance across the New Product Development portfolio.
The role involves preparing and analyzing key reports, tracking changes, and maintaining accurate data within systems. The Governance Coordinator supports PMs in identifying risks, managing Brand Plans documentation, and coordinating communication with global and commercial stakeholders. The role also supports cost approval processes and ensures proper alignment between products and markets, contributing to efficient and timely project execution.

This is 18 months fixed-term position.

Key responsibilities:

  • Preparing, maintaining, and analysing weekly portfolio and Matrix reports.
  • Supporting Portfolio Program Managers in identifying, tracking, and escalating project risks and issues.
  • Monitoring and tracking changes to Commercial Market estimates, including project additions and removals.
  • Managing project updates within systems, including gate date and portfolio changes.
  • Owning and maintaining Brand Plans documentation to ensure accuracy and consistency.
  • Coordinating and communicating Brand Plan updates between Portfolio Program Managers, Global Brand Marketing (GBM), and Commercial Markets.
  • Preparing and managing monthly Stage Gate governance documentation.
  • Supporting the creation and maintenance of Business Innovation Reports (BIR).
  • Coordinating Gate Line-up documentation and related governance activities.
  • Preparing Scope Lock documentation and ensuring accurate project records.
  • Producing Pre-Gate, Gate, and Post-Gate reports.
  • Managing Post-Gate Deletes documentation and tracking portfolio changes.
  • Supporting cost approval processes for global projects, including Gate and GPC approvals.
  • Ensuring accurate alignment between products and markets, including product specifications and variations.
  • Maintaining data accuracy and integrity across relevant systems and reports.
  • Helping drive consistency, compliance, and best practices across the New Product Development portfolio.

What we're looking for:

  • Previous experience in project coordination, portfolio governance, project management support, or a similar role.
  • Strong organisational skills and the ability to manage multiple priorities simultaneously.
  • Experience working with project tracking, reporting, and governance processes.
  • Excellent attention to detail and a commitment to data accuracy.
  • Strong analytical skills with the ability to identify trends, risks, and opportunities.
  • Experience preparing reports, documentation, and presentations for stakeholders.
  • Confidence working with systems, databases, and reporting tools.
  • Strong communication skills with the ability to collaborate effectively across global and cross-functional teams.
  • Ability to build positive working relationships with a wide range of stakeholders.
  • Proactive problem-solving skills and a continuous improvement mindset.
  • Ability to work independently while managing deadlines in a fast-paced environment.
  • Strong written and verbal English communication skills.
  • Experience within product development, portfolio management, project management, or FMCG environments would be an advantage.
  • Curiosity, learning agility, and a willingness to adapt in a changing business environment.
